POSITION: Receptionist / Administration Assistant

LOCATION: Adelaide Fringe Head Office

REPORTS TO: Operations Manager

EMPLOYMENT: 1.0FTE full time, flexible

                        

 POSITION SUMMARY

 

The Office Receptionist/Admin Assistant serves as the first point of contact for visitors, clients, and employees, ensuring smooth daily operations through exceptional organisational and administrative support. This role combines front-desk reception duties with behind-the-scenes administrative tasks, providing a balance of customer service and operational efficiency. The ideal candidate will be professional, proactive, and detail-oriented, with strong communication skills and the ability to multitask in a fast-paced environment. It plays a vital part in fostering a welcoming and productive workplace. As the public representative of the organisation, this role demands a polished and professional demeanour, both in conduct and appearance.

 

ORGANISATIONAL RELATIONSHIP

Department: Operations & Finance

Supervises: Nil

Internal Liaisons:  All departments

External Liaisons: Adelaide Fringe stakeholders including artists, venues, partners, local businesses and office contractors.

 

KEY RESPONSIBILITIES

Reception

  • Provide exceptional service to visitors and callers, ensuring a positive first impression.
  • Manage incoming calls, direct them to the appropriate department or personnel, and take accurate messages.
  • Handle inquiries via email, chat, or in person with patience and efficiency.
  • Maintaining a welcoming and tidy environment for visitors
  • Maintaining the kitchen and office spaces, including a general daily tidy of the office
  • Contact person for the booking of meeting rooms
  • Receiving and distributing mail to staff including delivery mail to the post office
  • Ensure all visitors sign in and sign out
  • Monitor and maintain office supplies, ensuring they are stocked and organised.


Administration Support

  • Support the Operations Manager with general administrative tasks
  • Support the Volunteer program with general administrative tasks
  • Support the Events & Production team with general administrative tasks
  • Support the Executive team with general administrative tasks
  • Support the WHS Committee with general administrative tasks
  • Maintain and update records, databases, and filing systems (physical and digital).
  • Conduct new employee office inductions including office tour and introductions and general evacuation procedures
  • Organise the maintenance of office equipment and be the contact person for maintenance issues
  • Support in the roll out of staff engagement activities and staff events
  • Other general administrative duties required by other departments when time permits.

ESSENTIAL / DESIRABLE CRITERIA

Education & Experience

  • At least 12 months experience in a similar type of role
  • Previous experience in working in festivals, events, arts and/or related industry will be looked upon favourably

  • Polite, patient and well-groomed
  • Proficiency in Microsoft Office (Word, Excel, Outlook), phone systems, and basic office equipment.
