About the Role

We are seeking an experienced and highly organised Executive Officer to provide high-level executive, communication and coordination support to the CEO and Executive/Director team. This role is central to supporting executive operations, preparing high-quality written materials, coordinating key activities and ensuring effective engagement with government and sector stakeholders.

The Executive Officer plays a critical role in supporting executive readiness, coordinating ministerial and stakeholder communications, preparing briefings and reports, and ensuring the Executive Team is well prepared for strategic meetings and engagements.

Responsibilities

  • Provide high-level administrative and coordination support to the CEO and Executive/Director team.
  • Manage diaries, meetings, travel arrangements and executive priorities.
  • Coordinate Executive and Board meetings, including agendas, briefing packs, minutes and follow-up actions.
  • Draft, review and coordinate high-level written materials including briefings, reports, correspondence and presentations.
  • Prepare ministerial and government communications, ensuring quality, professionalism and alignment with organisational messaging.
  • Support Directors to prepare for meetings and strategic engagements through key messages, speaking notes and background briefings.
  • Assist in coordinating strategic projects, events and organisational priorities across the Executive Team.
  • Prepare reports and documentation to support informed decision-making and organisational governance.
  • Liaise with government agencies, community organisations and key stakeholders to support collaboration and effective communication.
  • Maintain confidentiality and provide responsive administrative support in a fast-paced executive environment.

Qualifications and Experience

  • Relevant qualifications in Business Administration, Communications or a related field (desirable).
  • Demonstrated experience supporting senior executives in a complex and fast-paced environment.
  • Experience preparing high-level written communications, briefings, reports and executive correspondence.

Skills, Knowledge and Experience

  • Exceptional written and verbal communication skills with strong attention to detail.
  • Proven ability to prepare professional documents for senior stakeholders, including government and sector partners.
  • Strong organisational and time management skills with the ability to manage multiple priorities.
  • Experience coordinating executive meetings, governance processes and stakeholder engagement activities.
  • Advanced proficiency in Microsoft Office and document preparation.
  • Strong initiative, sound judgement and problem-solving capability.
  • High level professionalism, discretion and ability to manage confidential information.
  • Excellent interpersonal skills and the ability to build effective working relationships.
  • Commitment to the values and mission of Aboriginal community-controlled organisations.
