The Western Australian Council of State School Organisations (WACSSO) is the peak body representing Parents and Citizens’ Associations across WA public schools. For more than 100 years, we have strengthened the voice and capability of parent-led organisations so that every child has access to the best possible public education.

The Opportunity

We are seeking a capable and highly organised Office Coordinator to join our East Perth office in a full-time capacity.

This role is offered as a temporary to permanent opportunity, with the intention of transitioning to ongoing employment subject to performance and organisational requirements.

This is an office-based role and is central to the maintaining our positive, productive culture and the smooth operation of our organisation.

Key Responsibilities

Member and Service Centre Support

– Triage and allocate incoming service requests

– Provide Level 1 support via phone, email, social media and live chat

– Deliver calm, professional and solutions-focused service to members and stakeholders

– Escalate complex matters appropriately

Governance and Executive Support

– Support State Council and Executive meetings (logistics, scheduling, documentation)

– Provide administrative support to the CEO

– Coordinate travel arrangements for staff and Councillors

– Maintain accurate records and compliance with information management requirements

Office Operations

– Manage day-to-day office administration

– Coordinate vendors, supplies and building logistics

– Maintain phone and office systems

– Manage merchandise inventory

Events and Conference Support

– Assist with logistics for the annual WACSSO Conference

– Coordinate artwork, student engagement and event materials

– Support extended hours during peak periods (overtime or time in lieu provided in accordance with Award requirements)

Finance and Partnerships Support

– Assist with accounts receivable and payable administration

– Support partnership initiatives and income projects

Inherent Requirements

This role requires physical presence in our East Perth office five days per week. Occasional flexibility, including limited work-from-home, a nine-day fortnight arrangement, and additional leave during school holidays, may be considered at CEO discretion.

The role includes manual handling of conference materials and office equipment (e.g. lifting boxes and moving equipment). The successful applicant must have the capacity to safely perform these tasks in line with workplace health and safety requirements.

What We’re Looking For

Essential

– Experience in reception, call centre, administrative or customer service roles

– Excellent phone manner and written communication skills

– Strong organisational and time management skills

– High emotional intelligence and discretion

– Ability to manage competing priorities in a small team

– Proficiency in Microsoft 365

– Demonstrated ability to remain calm and professional under pressure

– Alignment with volunteer-led and community organisations

Desirable

– Event coordination experience

– Experience working with volunteer committees or P&Cs

– Interest in learning Dynamics CRM, Power Automate or Power BI

– Certificate IV in Training & Assessment

Employment Details

– Overtime and notice provisions apply in accordance with Award
