Summary of the role:

The Enterprise Asset Management Analyst is responsible for the administration, coordination, and optimisation of VICT’s SAP Enterprise Asset Management System (EAMS) within the Engineering & Maintenance function.

This role serves as the primary custodian of the SAP Plant Maintenance (PM) and Materials Management (MM) modules, ensuring data integrity, workflow compliance, and the effective use of SAP to support work order management, procurement, inventory, and asset reliability activities. The role manages purchase requisitions, purchase orders, goods receipts, invoicing, MRP settings for spare parts, and equipment refurbishment orders, working closely with Engineering, Finance, Stores, and Operations to ensure SAP processes meet VICT’s operational and compliance requirements.

Key Responsibilities:

  • SAP Data Integrity – Maintain accuracy and completeness of SAP EAMS master data, work orders, and transaction records.
  • Procurement Cycle Times – Process purchase requisitions, purchase orders, and goods receipts within agreed turnaround times to minimise maintenance delays.
  • Inventory Availability – Ensure critical spare parts stock levels are maintained through effective MRP settings and timely replenishment.
  • Work Order Compliance – Achieve and maintain target PM work order completion rates within scheduled timeframes.
  • Reporting: Generate standard and ad hoc SAP reports for maintenance KPIs, PM compliance, work order status, cost-to-budget, and asset performance. Prepare and distribute periodic reports to Engineering, Finance, and Management stakeholders.
  • SAP System Administration: Serve as the primary point of contact for SAP EAMS queries. Maintain functional locations, equipment master records, and Bills of Materials (BOM). Support system enhancements, change requests, and upgrades in collaboration with the IT team.
  • Policy Compliance: Comply with VICT’s procurement, financial, and maintenance governance frameworks. Support audit processes and ensure all SAP transactions are performed in accordance with company policies and legal requirements.
  • Safety and Environmental Awareness: Maintain awareness of VICT’s safety and environmental requirements and ensure all activities are carried out in compliance with applicable WHS legislation and site policies.
  • Continuous Improvement: Identify and recommend improvements to SAP processes, workflows, and system configurations to enhance efficiency, data quality, and user experience across the Engineering function.

Desired Skills & Experience:

  • Demonstrated hands-on experience with SAP EAM/PM module including work order management, notifications, equipment master records, and functional locations.
  • Proficiency in SAP MM module: purchase requisitions, purchase orders, goods receipts, invoice verification, and material master data management.
  • Experience with SAP MRP settings and materials planning for maintenance spare parts and consumables.
  • Experience managing refurbishment orders for repairable spare parts in an engineering or industrial environment.
  • Ability to generate, interpret, and present SAP reports and maintenance KPI data to management and cross-functional stakeholders.
  • Strong attention to detail and commitment to SAP data accuracy, system integrity, and process compliance.
  • Proficiency in Microsoft Office applications (Excel, Word, Outlook) and familiarity with ERP reporting and analytics tools.
  • Experience with IFS (Industrial and Financial Systems) EAM software is considered a strong advantage.
  • Strong bias for action and ability to manage competing priorities and meet deadlines in a dynamic operational environment.
  • Responsibility for work quality, monitoring, and production of all reports and SAP documentation in accordance with VICT’s standards and legal framework.
