Office & People Coordinator
Tuesday to Friday | 4 days, 30 hours per week (could become full time in future)
Salary $62,000 to $67,000 (pro rata)
Tradewind Australia is seeking a reliable and organised Office & People Coordinator to support our People & Culture and Marketing teams while ensuring the day-to-day operations of our Melbourne office run smoothly.

The Opportunity
Reporting to the Director of People and Culture, this role sits at the operational heart of the business. It blends P&C administration, employee lifecycle coordination, office management, compliance tracking, marketing and event support, and front of house leadership.
You will play a pivotal role in ensuring our office runs efficiently, our people processes are executed with excellence, and every employee, candidate and visitor experiences a professional and welcoming environment.

Key Responsibilities
- People administration – Prepare onboarding documentation and coordinate inductions
- Maintain HRIS systems and employee records
- Track probation reviews, appraisals and development conversations
- Support engagement surveys, compliance audits and policy reviews
- Maintain templates, policies and internal documentation
- Prepare workforce reporting including starters, leavers and compliance summaries
Office and Front of House Coordination
- Be the first point of contact for visitors, creating a professional and welcoming environment
- Maintain presentation of shared spaces and office supplies
- Coordinate deliveries, facilities management and vendor relationships
- Support WHS register maintenance and compliance documentation
- Prepare onboarding kits and coordinate desk setups
Compliance and Records Management
- Support monthly compliance audits including Working with Children Checks, visa tracking and mandatory training
- Maintain internal registers relating to contracts, leave and safety compliance
- Ensure confidentiality and data integrity across all documentation
Employee Experience and Events
- Coordinate internal events, cultural celebrations and volunteering initiatives
- Support wellbeing initiatives and staff engagement activities
- Assist with event logistics including bookings, payments and run sheets
- Collaborate with Marketing on internal and external materials

Desirable Experience
- Experience in a Coordinator or Administrator role
- Qualification in Human Resources, Business or related discipline
- Building/Office management
- Exposure to employment legislation or recruitment sector compliance
- Experience supporting onboarding, contracts and employee lifecycle processes
