We are seeking an experienced Practice Coordinator to support front-of-house operations and clinical administration within our Allied Health and Medical division.
This role is ideal for an experienced medical or allied health receptionist ready to take on broader responsibility within a premium, multidisciplinary environment.
The Opportunity
You will support the seamless delivery of care across our integrated team, including:
• Doctor
• Exercise Physiologists
• Dietitian
• Physiotherapists
• Senior Medical Receptionist
• Allied Health Practitioners
You will play a key role in maintaining a professional client experience, supporting practitioners, and ensuring billing and administrative processes run smoothly.
This role may also provide support across other TotalFusion locations as required.
Hours: Approx. 5–6 hours per day (final structure dependent on team coverage and availability).
Key Responsibilities
Front-of-House & Client Experience
• Manage daily reception operations and client communications
• Appointment scheduling, confirmations and diary coordination
• Provide a polished, professional first point of contact for clients
• Support client retention and engagement initiatives
Billing, Medicare & Administration
• Process Medicare and MBS billing
• Manage third-party and private health billing
• Oversee package administration and tracking
• Maintain accurate billing records and reporting
• Oversee POS transactions and ensure accurate processing
• Manage retail and clinical product stock levels and ordering
Systems & Reporting
• Operate within Nookal (Allied Health PMS) and Best Practice (Medical PMS)
• Generate operational and billing reports as required
• Maintain accurate and confidential client records
Operational Support
• Manage reception team rostering and coverage
• Train and assist reception staff
• Liaise with GPs and external providers as required
• Provide administrative support to practitioners across TotalFusion venues when needed
