Position Purpose

The Office Manager is responsible for the effective coordination and administration of a remote office to ensure operational continuity, compliance, and efficient support to business activities. The role provides structured administrative, facilities, and operational support, acting as the primary interface between the remote office, head office functions, suppliers, and stakeholders.

The position operates with a high degree of autonomy within established organisational policies, procedures, and management systems.

Key Responsibilities

  • Coordinate day-to-day operations of the remote office in accordance with organisational procedures
  • Manage office facilities, including access control, utilities, maintenance, and service contracts
  • Maintain office resources, equipment, and asset registers
  • Liaise with landlords, contractors, and service providers to ensure service delivery requirements are met
  • Provide administrative support to management and operational teams
  • Coordinate travel, accommodation, and logistical requirements as required
  • Maintain accurate records, registers, and documentation in line with document control requirements
  • Support meeting coordination, correspondence, and reporting activities
  • Process purchase orders, invoices, and expense documentation in accordance with financial procedures
  • Monitor and track office-related expenditure against approved budgets
  • Liaise with finance and approved suppliers to support timely and accurate processing
  • Support onboarding and offboarding processes for employees and contractors
  • Maintain personnel records, timesheets, and leave documentation as required
  • Provide administrative support to HR processes in accordance with policies and confidentiality requirements
  • Support workplace health and safety (WHS) obligations at the remote office
  • Maintain site compliance records, inductions, and training documentation
  • Assist with audits, inspections, and compliance reviews as required
  • Ensure adherence to organisational policies, procedures, and management system requirements (e.g. ISO standards)

Key Skills & Experience

Essential

  • Demonstrated experience in an Office Manager or senior administrative role
  • Experience operating independently within a remote or regional office environment
  • Strong organisational, planning, and prioritisation skills
  • High level written and verbal communication skills
  • Proficiency in office productivity systems (e.g. Microsoft Office / Google Workspace)
  • Demonstrated ability to manage confidential information
  • Strong attention to detail and problem-solving capability

Desirable

  • Certificate IV or Diploma in Business Administration (or equivalent experience)
  • Experience supporting WHS, quality, or compliance management systems
  • Experience supporting operational, technical, or project-based teams
  • Familiarity with ISO-aligned management systems
