Description

Reporting to the Head of Property Management, the role of Concierge is responsible for providing high quality customer service in person as well as by phone or email as the first point of contact for all customer enquiries and staff member queries. The Concierge will facilitate all aspects of customer service, ensuring the office is professionally maintained and tidied, customers and staff are dealt with proficiently and courteously to the utmost standards.

Deliverables:

  • Welcome clients and announce visitors to appropriate team members
  • Answer internal and external phone calls within three rings with a positive and helpful manner
  • Email phone messages to the relevant staff member as soon as a call is completed including full name, return phone number and the reason for their call
  • Assist with customer and staff enquiries in a helpful manner
  • Assist Portfolio Partners and Management Team with all day to day Property Management support and administration
  • Ensure Office cleanliness and tidiness is professionally maintained
  • Maintain office stationary and office supplies and consumables including tea and coffee and kitchen supplies, liaising with Operations and Compliance Manager where required
  • Manage the upkeep of the internal The Agency phone list
  • Distribute mail and packages to staff in a timely manner
  • Coordinate all outgoing mail including franking
  • Log service calls for any office machinery including but not limited to photocopiers and franking machines
  • Assist with filing, including scanning of documents, and setting up new physical files
  • Assist with data entry and management of client information into CRM System
  • Organise and manage work flow through email and diary management
  • Provide a full range of administrative and clerical support services including filing and record management and the compilation of reports
  • Assist with overflow administrative duties from the Support Partners as required
