Surf Life Saving Queensland’s Aviation division plays a critical role in coastal surveillance, emergency response, and community engagement — and we’re looking for a highly organised, proactive Aviation Administrator to help keep this vital operation running smoothly. This position is based at our Carrara Hangar on the Gold Coast.

What You’ll Do:

  • Act as first point of contact for visitors and clients, managing communications, administrative tasks, and create a positive impression of SLSQ Aviation.
  • Professionally managing incoming calls, including emergency calls, Westpac Lifesaver Rescue Helicopter Service (WLRHS) email account and calendar.
  • Monitor radio communications.
  • Liaise with key stakeholders and coordinate logistics for school landings, community engagements, demonstrations, visits, and events.
  • Processing invoices, purchase orders, and credit card reconciliations.
  • Maintaining operational databases, documentation, flight records, and reporting requirements.
  • Maintaining aviation records in the aviation management system (Air Maestro) ensuring compliance with internal and regulatory requirements.
  • Preparing statistical reports for SLSQ, SLSA, Westpac and QPS.
  • Managing meeting administration including drafting agendas, taking minutes, and tracking actions. Some meetings are held outside normal business hours.
  • Supporting onboarding, training coordination, uniform and equipment procurement.
  • Managing vehicle usage logs, airside registrations, and driver licensing.
  • Coordinating travel, appointments, conferences, and events.
  • Coordinate cleaning and maintenance of all SLSQ Aviation bases.
  • Assisting with marketing and communications, including social media content and Westpac reporting.
  • Provide support to General Manager Aviation and Chief Pilot.

About You:

  • This role requires someone who can work independently, take initiative, be resilient and accountable for outcomes.
  • Ability to remain calm and professional when handling urgent or emergency calls
  • Working with children blue card (or the ability to obtain).
  • Current drivers license.
  • Strong organisational and time-management skills.
  • Excellent communication and interpersonal skills.
  • Confidence using social media tools and MS Office programs.
  • Ability to work autonomously and adapt to changing operational needs.
  • High attention to detail and professionalism.
  • A knack for problem solving and multitasking.
  • Typing speed of 50+ wpm.
  • Experience in an aviation environment is an advantage.
  • Experience in a community-based or emergency services organisation (desirable).
  • Understanding of Surf Life Saving Queensland or a similar community-based organisation (desirable).
