The opportunity

We are seeking an experienced and proactive Executive Assistant (EA) to support our Audit Partner. This role is ideal for someone who is exceptionally organised, self-motivated, and adept at managing a dynamic and demanding schedule with competing priorities and strict deadlines. As a trusted member of the team, you will play a critical role in maintaining confidentiality and enhancing the Partner’s efficiency and effectiveness by providing seamless administrative support.

This position can be full-time or part-time.

Your duties will include:

Executive Support:

  • Calendar management for the Audit Partner, including coordination of meetings, and prepare agendas, minutes, and presentations.
  • Partner Inbox Management through filtering, prioritisation and follow up.
  • Oversee travel arrangements and monitor the Partner’s email inbox to prioritise and follow up on key matters.

Communication:

  • Liaise with various stakeholders and promote information flow and requests between the Partner and various stakeholders in the organisation.
  • Attend regular meetings with the Partner to ensure clear communication, completion of tasks and proactive support.

Client and Team Coordination:

  • Maintain strong client relationships by tracking interactions, drafting engagement letters, and assisting with correspondence.
  • Support team operations, including scheduling training sessions, monitoring compliance with timesheets and CPD requirements, and facilitating communication.
  • Coordinate relevant events and functions.

Billing and Budgeting:

  • Prepare and track budgets for projects and clients, ensuring alignment with timeframes and financial goals.
  • Manage weekly billing summaries, WIP reports, and overdue account follow-ups.

Document Management:

  • Draft and format tender documents, benchmark reports, and financial statements with accuracy and professionalism.
  • Ensure all documentation adheres to established standards, including spelling, grammar, and naming conventions.

Process Improvement and Automation:

  • Identify and implement process efficiencies, including streamlining repetitive tasks and improving resource allocation.

Core Processes and Policy Support:

  • Support leave processes for Partner direct reports, ensuring compliance with organisational policies.
  • Review and support expense and kilometre claims for accuracy and consistency.
