ABOUT THE ROLE

Stanley College is seeking a highly organised and proactive Administration Assistant to support the Executive Officer and Executive Leadership Team at the West Perth Campus. This role is central to ensuring the smooth day-to-day operations of the Executive office, providing high-level administrative, coordination, and operational support. You will play a key role in facilitating effective communication, managing schedules and logistics, and supporting key business functions including procurement, travel coordination, and events, contributing to the overall efficiency and professionalism of the organisation.

 

KEY RESPONSIBILITIES

  • Provide administrative support to the Executive Leadership Team, including scheduling meetings, preparing agendas, and recording minutes.
  • Coordinate seminars, webinars, and internal meetings, including logistics and catering arrangements.
  • Manage office administration tasks such as maintaining calendars, handling mail distribution, and ensuring office supplies are stocked.
  • Raise and manage purchase orders, and reconcile corporate credit card statements using accounting systems.
  • Coordinate domestic and international travel arrangements, including flights, accommodation, and visa requirements.
  • Maintain organisational records such as staff organisational charts and booking systems.
  • Liaise with suppliers to procure materials including printing, merchandise, uniforms, and manage courier and freight logistics.
  • Support the coordination and delivery of events such as graduations, orientations, and internal functions.
  • Provide general administrative support and undertake additional duties as required.

JOB REQUIREMENTS

  • Previous experience in an administrative or office support role, with demonstrated ability to manage multiple tasks in a fast-paced environment.
  • Strong organisational and time management skills, with high attention to detail.
  • Excellent written and verbal communication skills, with the ability to engage effectively with stakeholders at all levels.
  • Proficiency in Microsoft Office Suite, Gmail, and familiarity with accounting systems such as Xero (desirable).
  • Experience in preparing meeting agendas and taking accurate minutes.
  • Professional, reliable, and discreet, with a strong sense of accountability.
  • Flexible and adaptable, with a proactive and service-oriented approach.
  • Certificate III or IV in Business Administration
