Summary/Objective

The Maintenance Systems & Planning Coordinator supports the safe, compliant and reliable operation of STACK’s mission-critical infrastructure by administering the Computerised Maintenance Management System (CMMS), coordinating maintenance schedules, and governing the change management workflow. This role chairs the weekly Change Advisory Board (CAB) to ensure disciplined process execution, while technical approvals remain with the ACOM and COM. The position ensures no conflicting maintenance activities occur across mechanical, electrical, controls and supporting systems and prevents excessive change stacking on the same day. The Coordinator also administers the rotating shift roster, annual/sick leave entries, and relief coverage planning to maintain continuous staffing for 24/7 operations. This role directly contributes to STACK’s 100% uptime commitment and our expectation of concierge-level customer service.

Essential Functions – Critical Operations

  • Uphold STACK’s 100% uptime objective by maintaining accurate, reliable CMMS data to support operational decision-making.

  • Administer the CMMS system including asset hierarchies, PM schedules, work order creation, close-out documentation, service reports and evidence accuracy.

  • Ensure maintenance plans are reflected correctly in the 52-week schedule and updated promptly after changes, deferrals or engineering adjustments.

  • Chair the Change Advisory Board (CAB), ensuring every submission meets STACK procedural standards (MOP/SOP/ITP, rollback, risk assessments, communication plans).

  • Maintain the Change Calendar, applying freeze windows, preventing high-risk clustering and ensuring changes do not conflict across systems.

  • Identify and prevent conflicts between maintenance and change activities (e.g., electrical + cooling + controls) to protect redundancy, safety and availability.

  • Ensure ACOM and COM remain the technical and operational approvers for all changes; accurately record decisions and required actions.

  • Link change records to the correct assets, PM tasks and work orders to preserve data integrity and operational traceability.

  • Track deferred changes, overdue actions, incomplete close-outs and escalate procedural non-compliance to the CFM.

  • Support vendor scheduling by ensuring all works are accurately recorded, do not conflict with site operations and include required compliance documentation.

  • Maintain audit-ready CMMS and change documentation for internal reviews, customer audits and regulatory requirements.

  • Develop and issue weekly/monthly reporting: PPM compliance, overdue work orders, change volumes, risk categories, conflict flags, and CAB action closure.

Competencies

  • Strong understanding of CMMS/EAM systems, asset structures, work order flows and preventive maintenance programs.

  • High attention to detail with disciplined record-keeping and documentation control.

  • Ability to chair structured meetings (CAB), maintain accurate minutes and enforce procedural quality.

  • Scheduling and planning capability, with ability to detect and resolve conflicts between maintenance and change activities.

  • Clear communication skills for interacting with engineers, supervisors, vendors and operations leadership.

  • Proficiency with Excel for roster tools, coverage metrics and operational reporting.

  • Process-driven approach aligned to safety, compliance and availability.

  • Strong organisational discipline and reliability under time-sensitive conditions.

Preferred Education and Experience

  • Experience in mission-critical environments (data centre, hospital, utilities, transport, defence or similar).

  • Experience administering CMMS/EAM systems and coordinating maintenance or change schedules.

  • Familiarity with operational change management workflows (CAB, MOP/SOP/ITP, PIR).

  • Exposure to technical systems (electrical, mechanical, HVAC or controls) is desirable but not essential. Engineering or trade background preferred but not essential.

  • Understanding of rostering, Award considerations and staffing coverage models for 24/7 operations.

Work Environment/Conditions

  • Primarily Monday–Friday with occasional extended hours during high-activity periods or major change windows.

  • Participation in operational readiness reviews, maintenance pre-briefs, CAB meetings and vendor coordination tasks.
