WHO WE ARE & WHAT WE DO

St John Ambulance SA is a charity that has been supporting the wellbeing of South Australians for 140 years. We help tens of thousands of people across the state each year through the delivery of Event Health and Medical Services, first aid training and products, and social inclusion programs.

Within South Australia, St John engages some 1,200 volunteers to support the community in the provision of Event Health and Medical Services and Community Care services. St John Ambulance SA also employs over 200 paid staff, located across the state.

THE OPPORTUNITY

We are looking for an experienced Rostering Coordinator to join the team on a 12-month fixed term maternity leave contract. The Rostering Coordinator plays a key role in ensuring the efficient coordination of commercial training activities. The position is primarily responsible for trainer rostering and scheduling to ensure courses are appropriately staffed, venues and travel are organised, and trainers are prepared with relevant information required prior to training delivery. The role supports the development and maintenance of the Commercial Training Schedule, contributing to identifying service gaps and trainer development needs, assisting with the onboarding and upskilling of trainers through effective scheduling and coordination.

In addition, the role provides essential administrative support to the Commercial Training Team. This includes processing trainer timesheets, maintaining training documentations, supporting training compliance processes and assisting with communication duties.

Responsibilities include but aren’t limited to:

  • Rostering Trainers to ensure scheduled training courses are appropriately staffed considering contractual requirements and minimising planned overtime
  • Booking and confirming training venues for training courses
  • Provide Trainers with relevant location information prior to delivering training courses
  • Contribute to the development of a Commercial Training Schedule
  • Contribute to the induction process of new Trainers through scheduling and booking all requirements
  • Point of contact for Trainer rostering enquiries, including notification of Trainer absence (i.e. due to sickness) or roster change requests

TO BE SUCCESSFUL

  • Experience in scheduling and planning training courses
  • Experience in the effective rostering of staff
  • Experience in the use of CRMs and Rostering Applications (desirable)
  • Customer service experience (desirable)
  • Experience in coordinating equipment and/or resources
  • Exposure to, or an understanding of, the dynamics and drivers of charitable organisations (desirable)
  • Knowledge of Registered Training Organisation requirements (desirable)
  • Ability to effectively influence others to ensure the needs of the business are delivered
  • Working knowledge of the Microsoft Office range of applications
  • Highly motivated and enthusiastic, with excellent communication skills
  • Ability to analyse and problem solve and to work within tight timeframes
  • Strong relationship-building skills, with both internal and external stakeholders
