We are looking for an adaptable, proactive, and detail-oriented Administrative Assistant to provide seamless operational support to our internal teams, Exercise Physiologists (EPs), and external stakeholders.

The Opportunity

Reporting directly to the Administration Manager, you will play a pivotal role in keeping our daily operations running like clockwork. In this role you will manage core duties including referral and data entry, file maintenance, equipment procurement, and stakeholder communication.

Key Responsibilities

  • Data Entry & File Management: Accurately enter new patient referrals into our CRM, manage funding details, coordinate GP consent forms, and maintain total data integrity.
  • Communication & Coordination: Act as a professional point of contact—booking client appointments, sending introductory communications, and proactively liaising with General Practitioners and insurance claims managers.
  • Procurement & Financial Admin: Manage the ordering and timely distribution of clinical/office equipment, coordinate with vendors, track shipments, and process invoices/expenses.
  • Quality & Compliance: Monitor service standards, ensure strict adherence to company guidelines and service level timeframes, and escalate operational issues promptly.
  • Team Support: Deliver dynamic time-management to prioritize fluctuating workloads, supporting our EPs and internal admin teams efficiently.

Position Requirements

⚠️ CRITICAL ELIGIBILITY NOTE: Candidates MUST currently reside and have full working rights in Australia to be considered for this role.

Preferred Experience (Highly Regarded):

  • Direct administrative experience within Occupational Rehabilitation, Allied Health, Medical Admin, or the Insurance/Compensable schemes sector is strongly preferred.

Skills & Qualifications:

  • Proven track record in general administration support or operational coordination roles.
  • Excellent written and verbal communication skills with a confident, professional telephone and email manner.
  • High proficiency in Google Suite, Microsoft Office, and CRM software systems.
  • Strong organisational and exceptional time-management skills with the ability to work independently.
  • Strongly detail-oriented with a dedicated focus on data quality, integrity, and compliance.
  • Demonstrated ability to work independently, exercise initiative and problem-solve effectively in a fast-paced environment.
