About the Role

We are looking for an enthusiastic Medical Receptionist & Client Relationship Team Member to join our dynamic team. You’ll be the friendly face that greets clients and the calm voice that guides them through their journey with us. This role is ideal for someone who thrives in a fast-paced environment and can balance client care with operational efficiency.

Key Responsibilities:

Client Experience: Be the first point of contact, creating a warm and welcoming environment for every client. Ensure all client needs are met with empathy, professionalism, and care.

Clinic Operations: Manage the dynamic scheduling of multiple clinicians, ensuring diaries are optimized and appointments are booked efficiently. Keep the clinic running smoothly by coordinating team communications and maintaining an organized workspace.

Marketing & Engagement: Stay up-to-date with our services, the interests of our psychologists, and develop a deep understanding of our referrers. Play a key role in keeping our client base informed and engaged through effective communication.

Compliance & Confidentiality: Maintain accurate and up-to-date client records in accordance with Medicare, NDIS, and health regulations. Ensure all client information is handled with the utmost confidentiality.

Problem Solving & Efficiency: Confidently handle client inquiries and resolve issues with sensitivity and professionalism.

What You Bring to the Role:

Experience Matters: Minimum of 2 years in a similar reception or client-facing role (healthcare experience is a bonus).

Tech-Savvy: High proficiency in Microsoft 365, and familiarity with Halaxy (or a willingness to learn quickly).

Organizational Excellence: You are a master of time management, can juggle multiple priorities, and maintain meticulous attention to detail.

Empathy & Professionalism: You understand the delicate balance of creating a compassionate client experience while managing the practical aspects of a busy clinic.

Confidence & Communication: You are an effective communicator with a superior phone manner and the ability to navigate complex client inquiries.

Growth Mindset: You love learning, have a positive attitude, and are eager to contribute new ideas to improve our service delivery.
