Primary Purpose of the Role: Saltbush Foundation 2 Future (F2F) is designed to provide long-term, wrap-around support for Aboriginal jobseekers who need tailored assistance to build skills, confidence and sustainable career pathways.
We’re looking for a Course Coordinator who enjoys working closely with people, keeping programs organised and supporting participants to stay engaged and on track. This role plays a key part in coordinating courses, activities and services..
You’ll work alongside the Program Manager, trainers and Program Mentors to ensure courses and activities run smoothly, from enrolment and preparation through to delivery, excursions and graduations. Just as importantly, you’ll build strong relationships with participants, supporting attendance, positive behaviours and engagement throughout the program.
Key Duties and Responsibilities:
To ensure success in your role as a Course Coordinator, you will:
- Daily contact with participants ahead of course start dates to confirm attendance.
- Follow up with absent participants on the day to understand the reason for their absence, identify any support needs and confirm when they are expected to return to the program.
- Create participant folders and documentation for the trainer and mentors ahead of each cohort.
- Accurately maintain participant attendance registers and send updates to Workforce Australian providers in a timely manner.
- Assist with enrolments and ensure participants have access to required materials or equipment.
- Work with the rest of the team to assist with the organisation of graduations and information sessions.
- Maintain up-to-date participant records within internal systems and databases.
- Ensure accurate data entry to support program reporting and meet compliance and funding obligations.
- Upload and file relevant documents for internal reference or external audit purposes.
- Support daily program operations at the training facility, ensuring the trainer and mentors have everything needed ahead of session delivery.
- Coordinate supplies and program materials, ordering and maintaining stock through approved processes.
- Liaise with the Business Support Administrator to ensure the availability of laptops, phones and other devices for program use.
- Provide basic troubleshooting or IT support, escalating where necessary.
- Work with mentors to develop a clear transport schedule for participant pickups (without booking vehicles directly).
- Respond to general phone and email enquiries related to the program, escalating or redirecting as appropriate.
- Assist with internal program meetings as needed, including scheduling, preparing materials, and taking accurate minutes.
- Ensure administrative tasks are completed in line with Saltbush policies, procedures, and information management standards.
- Handle sensitive participant information with care, maintaining confidentiality at all times and applying sound risk management principles.
Essential Selection Criteria:
- Previous experience in organising, administration / support and people management roles.
- Demonstrated experience working in a culturally diverse environment, demonstrating empathy and determination with the delivery of services.
- Demonstrated high level verbal and written communication skills with excellent interpersonal skills and a flexible, responsive client service approach.
- Excellent interpersonal skills with an ability to effectively communicate with influence when working with young people.
- A working knowledge of the strength-based approach to working with culturally diverse people.
- High level administration, IT and Microsoft 365 program experience and capability
- A relevant tertiary qualification and/or comparable work experience in a similar role.
- High level organisational skills and self-motivation with the ability to take initiative when working alone and ability to interact and work in a team.
Employment is Subject to You Providing the Following:
- National Police Clearance (less than 3 months old)
- NT Working with Children (OCHRE) Card
- Current Driver’s Licence
- Proof of Aboriginal and/or Torres Strait Islander heritage
