What Success Looks Like
In this role, you’ll provide executive support while
contributing to projects and coordinating office operations. You’ll also have
the opportunity to introduce innovative AI tools and smarter processes to
enhance efficiency and help the Managing Director & CEO navigate their days
with clarity and focus. This position is perfect for someone who takes pride in
driving progress, streamlining workflows, and ensuring everything runs
seamlessly.
A day will see you:
• Strategically manage the Managing Director & CEO’s calendar,
inbox, and priorities to maximise impact
• Provide personal support with errands and tasks, enabling
focus on high-value initiatives
• Demonstrate strong governance understanding and prepare
accurate, timely minutes for key meetings
• Coordinate meetings, agendas, briefing papers, and
professional packs for Board and Executive sessions
• Ensure the Managing Director and CEO are fully prepared
with documentation and review time ahead of key decisions
• Capture and track action items, assign tasks in Microsoft
Teams, and follow up to maintain accountability across projects
• Organise domestic and international travel with detailed
itineraries, documentation, and approvals
• Oversee personal and business expenses, invoices, and
reconciliations with precision
• Maintain contact database and streamline filing systems
for efficient retrieval
• Manage office maintenance and service providers to uphold
a professional environment
Is This You?
You are passionate and motivated by the opportunity to work
closely with an innovative Managing Director & CEO, gaining valuable
exposure to high-level decision-making and strategic leadership. You thrive on
contributing to projects that shape the business and are inspired by growth,
impact, and the chance to bring fresh ideas to life. This role is based in the office
Monday to Friday, 8:30am–5:00pm, with flexibility to occasionally start earlier
or later as required.
In addition to this you:
• Bring 5+years’ experience as an Executive Assistant within
property, building, construction, or legal industries
• Are tech-savvy and proficient in Microsoft Office Suite
(Word, Excel, PowerPoint, Outlook, Teams) + Apple Suite
• Possess outstanding organisational and time-management
skills, with the ability to work autonomously and anticipate needs
• Communicate with confidence, building strong relationships
and managing stakeholders at all levels
• Excel in dynamic environments, adapting quickly to
shifting priorities and demands
• Have office coordination experience, overseeing services,
supply management, and catering to keep operations running smoothly
• Are excited by innovation, bringing fresh ideas, exploring
AI solutions, and implementing smarter ways of working to enhance efficiency
and support leadership at the highest level
• Take charge of your professional development, continually
expanding your knowledge and building meaningful industry connections.
