Refuge Victoria is one of the largest specialist family violence refuge providers in Victoria. We support people at serious risk due to family violence by providing safe accommodation, safety planning, and holistic care. With three refuge facilities, 15 crisis properties, and strong community housing partnerships, we work alongside women and children to help them rebuild safer lives.

The Opportunity 

We are seeking a proactive, highly adaptable, and organised Administration Officer to join our Corporate Services team. You will be the central administrative “go-to” person for the organisation, providing essential support across multiple areas. This is a dynamic role requiring you to think on your feet, take initiative, and build strong relationships with internal staff across all sites and external suppliers. 

Key responsibilities include: 

  • General Office & Ad Hoc Support: Managing the reception and answering phone calls. Providing ICT assistance and meeting coordination. Managing external suppliers (e.g., getting quotes, scheduling services, and communicating effectively). Overseeing stationery, in-kind donations, and providing flexible ad hoc admin support as day-to-day office needs arise.  

  • Fleet & Insurance Management: Coordinating vehicle registrations, insurance renewals, supplier reviews, and reporting. (Note: This involves practical fleet logistics and regular travel to other sites). 

  • Flexible Support Packages (FSP): Supporting applications, maintaining client records, delivering training, and liaising with partner agencies. 

  • Service Desk Support: Triage and monitor email inboxes and tickets, track progress, and generate performance reports. 

  • General Administration: Preparing acquittals, managing reports, and maintaining records.

About You 

To thrive in this role, you cannot just rely on step-by-step instructions. You must be comfortable navigating ambiguity, making independent judgements, and driving communication. We’re looking for someone who brings: 

  • A Full Victorian Driver’s Licence & Mobility (Essential): This is a requirement, as you will need to travel to our other sites occasionally or regularly for fleet management, vehicle inspections, and on-site support. 

  • Adaptability & Initiative: A highly adaptable approach with the ability to manage shifting priorities, tackle ambiguous/dynamic tasks, and proactively address operational roadblocks without waiting to be prompted. 

  • Relationship Building & Communication: Excellent interpersonal skills to effectively build and maintain positive relationships with staff across different sites, management, and external suppliers. A strong preference for proactive, face-to-face, verbal collaboration is a must to keep our fast-paced office running smoothly. 

  • Experience & Qualifications: Relevant qualifications in business administration, finance, or similar, plus at least 2 years’ administration experience (ideally in a client-facing or community services setting). 

  • Technical Skills: Strong IT and organisational skills. Experience in fleet management, insurance, and financial reporting is highly desirable.
