The opportunity

We’re looking for a proactive and organised Office Administrator to provide hands-on operational support to our East Coast team. This role is key to ensuring the smooth delivery of high-quality, timely projects that meet our clients’ needs and expectations.

Working closely with the Operations Coordinator, you’ll support client services and project administration across scheduling, invoicing, quoting, training administration, and general office management. You’ll be part of a collaborative team delivering occupational hygiene, hazardous materials, environmental health and safety, and training services to a diverse client base across multiple industrial sectors.

Key responsibilities may include

  • Assist with scheduling and management of rosters for East Coast teams
  • Support project coordination using Scoro software, including
  1. Training and project coordination
  2. Consultant task and hour tracking
  3. Quote and purchase order tracking
  • Assist the Operations Coordinator with client and field team communication
  • Maintain working drive folders and ensure project documentation and records are accurate and up to date
  • Organising and booking travel
  • Monitor shared email inboxes and allocate client requests to relevant team members
  • Provide administrative support for project and training activities as required

About you

You’ll be someone who enjoys keeping things organised and supporting others to succeed. Ideally, you will have:

  • Previous experience in project administration, operations support, or a similar role
  • Strong organisational skills with the ability to manage multiple priorities
  • Confidence using project management or scheduling software (experience with Scoro highly regarded)
  • Clear communication skills and a professional approach to client interaction
  • Strong attention to detail and document control
  • A collaborative, can-do attitude
