Position title: Finance Manager
Location: Naarm/Melbourne – Hybrid work arrangement
Employment Type: Full Time, 3-4 days per week (0.6 – 0.8 FTE)
Salary: $85,000 – $95,000 + Super

Reporting to: General Manager & Chief Financial Officer (external)

Role purpose
This is an integral finance role at the heart of PROJECT ROCKIT’s day to day operations. You will own the financial administration of the organisation, ensuring our books are accurate, compliance obligations are met on time and our financial data is reliable enough to inform good decisions. Embedded in our team, you will be the go-to finance person, sitting alongside our people, building a deep understanding of the business from the inside, and growing the financial literacy and discipline that helps PROJECT ROCKIT scale sustainably. You will be supported by Tonic Partners, our external CFO advisors, who lead the strategic finance function, giving you an experienced team behind you from day one.

Core responsibilities:
Bookkeeping & Compliance
- Maintain accurate day to day book keeping in Xero
- Process and reconcile accounts payable and accounts receivable
- Manage payroll processing and ensure superannuation obligations are delivered on time
- Perform monthly bank reconciliations and balance sheet reviews
- Process accruals and other period end requirements
- Administer employee leave records and ensure accurate tracking in Employment Hero
Reporting & Analysis
- Support preparation of monthly financial reports for review
- Maintain accurate revenue tracking across schools, corporate, brand and government income streams
- Flag variances and discrepancies with leadership team prior to month close
- Assist with annual budgeting processes and cash flow forecasting
Systems & Process
- Maintain and improve internal finance processes, templates and documentation across multiple financial platforms
- Manage Weel expense platform and Employment Hero payroll administration
- Liaise with finance partners to ensure smooth information flow and timely reporting
Team Partnership
- Be on the ground finance contact for the team, providing support and coaching on budget management and helping the team better understand the numbers behind their valuable work
- Sit alongside the sales team to reconcile Hubspot pipeline against Xero actuals and support sales tracking
- Support grant acquittals and finance reporting for funding partners

Key Selection Criteria (Experience, Knowledge and Qualifications)
Essential:
- Minimum 4-5 years experience in bookkeeping or finance administration role
- Strong working knowledge of Xero (non-negotiable)
- Familiarity with finance platforms Employment Hero & Weel
- Demonstrated experience processing payroll, superannuation
- High attention to detail and a methodical approach to work
- Ability to work autonomously and manage your time effectively within part time week and hybrid working arraignment
- Confident communicator who can coach and support team members, ask good questions and hand raise when something doesn’t add up
- Comfortable to collaborate in a dynamic team, fast pace mission driven environment
Ideal:
- Expertise in Not for Profit, social enterprise or education sector
- Familiarity with grant revenue, funding acquittals or restricted income
- Experience working with external CFO advisory
- Relevant qualifications in accounting, finance or business administration

- Reliable. The team counts on you. Payroll, super and staff entitlements are submitted correctly and on time, every cycle.

- Collaborative. You are genuinely comfortable with transnational work and love to bring people together to grow their financial acumen. Team members will feel supported and coached on budget management.
