Responsibilities:

  • In this role you will work in partnership with a Senior Client Support Officer, Client Managers and the entire administration team to provide comprehensive support to our clients. You will also manage a broad range of administrative and client support functions to ensure seamless client service including but not limited to:
  • Build and maintain strong client relationships
  • Collaborate with the team to achieve goals and ensure we deliver exceptional client service
  • Be a problem solver
  • Anticipate needs, identify problems, and use initiative to find solutions
  • Track the flow and capacity of work in office and be able to prioritise for required outcomes
  • Liaise with clients to arrange their work to be completed or information provided on time
  • Collate and professionally present client reports and outgoing correspondence within required timeframes
  • Ensure documents sent for signature are followed up and lodged in a timely manner, ensuring adherence to strict deadlines
  • Undertake corporate secretary duties including preparation and lodgment of required ASIC forms
  • Establishment of Trust and Company entities
  • Administer the onboarding and offboarding of clients
  • Maintain accurate and up-to-date databases, including adding new clients, updating client details, and accurate filing of documentation.
  • Assist with incoming calls, greeting clients and visitors, and provide backup reception support if required.
  • Undertake general administrative tasks as directed, contributing to smooth day-to-day operations.

What you’ll need to succeed:

  • Previous experience in an administration role
  • Team player, collaboration is key in this role
  • Must have effective time and priority management skills and be able to plan effectively
  • Be a strong self-starter who takes initiative
  • Excellent communication and interpersonal skills
  • High attention to detail and accountability
  • Good working knowledge of all Microsoft Office applications and ability to quickly adapt to change and new software
  • A growth and continuous improvement mindset
  • A willingness to think outside the box
