As an Executive Assistant to the CEOs, you will be responsible for:

  • Providing high-level administrative and operational support to the CEOs to ensure seamless day-to-day operations
  • Managing complex calendars, scheduling meetings, and coordinating appointments across multiple stakeholders and time zones
  • Preparing reports, presentations, and briefing materials to support strategic decision-making
  • Acting as a key point of contact between the CEOs and internal/external stakeholders, maintaining professionalism and confidentiality
  • Supporting business priorities by coordinating projects, tracking action items, and ensuring follow-through on key initiatives
  • Organising internal meetings, leadership sessions, and company events as required
  • Handling confidential information with discretion and integrity
  • Streamlining processes and identifying opportunities to improve efficiency across the executive office
  • Assisting with travel arrangements, expense management, and logistics
  • Proactively anticipating the needs of the CEOs and solving problems before they arise

Must have:

  • 2–5+ years’ experience in an Executive Assistant, Personal Assistant, or similar role supporting senior leaders
  • Exceptional organisational and time management skills with the ability to prioritise effectively
  • Strong written and verbal communication skills
  • High attention to detail and ability to manage multiple tasks simultaneously
  • A proactive, solutions-focused mindset with strong problem-solving abilities
  • High level of discretion and ability to handle confidential information
  • Strong stakeholder management and interpersonal skills
  • Tech-savvy with proficiency in Google Workspace / Microsoft Office and calendar management tools
  • Ability to work in a fast-paced, dynamic environment
  • Must be available to work in the Sydney office

Desirable:

  • Experience supporting C-suite executives or founders
  • Experience in a fast-growing agency, startup, or professional services environment
  • Project coordination or operations support experience
  • Familiarity with tools such as Slack, Hubspot, ChatGPT, or similar productivity platforms
  • Experience organising events or internal company initiatives
  • Exposure to digital marketing or agency environments
