We are seeking a highly organised, proactive and detail-oriented Procurement Officer to join our team. This is a hands-on role suited to someone who thrives in a fast-paced IT environment and enjoys taking ownership of procurement, warehousing, supplier management and operational support.
About the Role
The Procurement Officer plays a critical role in ensuring efficient purchasing, stock management, supplier coordination and internal operational support across the business. You will work closely with Sales, Presales, Engineering and Accounts to ensure seamless delivery of hardware and services to our customers. This is a diverse position combining procurement, warehousing, administration and accounts support.
This is a full-time position for an initial 12-month contract, with the potential to transition into a permanent role.
Key Responsibilities
1. Procurement & Supplier Management
• Manage procurement across all three companies
• Source hardware and negotiate competitive pricing
• Obtain quotes and product information from suppliers
• Identify and onboard new suppliers
• Liaise with suppliers regarding orders, backorders and RMAs
• Attend supplier expos and training (including Telstra portal training)
• Research products and solutions in collaboration with Presales/Sales
2. Order & Systems Management
• Complete order processing steps in ConnectWise
• Create, adjust and manage purchase orders and sales orders
• Update stock and job statuses in ConnectWise
• Track hardware across ICE/Xero for jobs and projects
• Enrol devices in the Telstra portal
• Create customers in ConnectWise
• Manage cross-company billing
3. Warehousing & Stock Control
• Order and receive stock
• Label and warehouse incoming stock
• Conduct regular stocktakes across all entities
• Maintain an organised and clean storeroom
• Track internal hardware assets
• Prepare stock for jobs and assist engineers
• Manage customer-specific warehousing requirements
• Liaise with Sales on stock-on-hand opportunities
4. Logistics & Shipping
• Arrange freight (StarTrack, AceIt and other providers)
• Follow up on missing or damaged parcels
• Coordinate shipping quotes
5. Accounts & Invoicing Support
• Book supplier invoices into accounting systems
• Invoice customers for quoted work, ad hoc services and projects
• Process credits and re-invoicing when required
• Assist Accounts and POS invoicing when needed
About You
• Highly organised with strong attention to detail
• Commercially minded with strong negotiation skills
• Confident using systems such as ConnectWise and accounting platforms (Xero experience advantageous)
• Able to manage multiple priorities in a fast-paced environment
• Proactive and solution-focused
• Comfortable working cross-functionally with Sales, Engineering and Accounts
• Professional in communication with suppliers and internal stakeholders
Experience within IT, telecommunications or a Managed Services environment will be highly regarded.
