Position: Junior Executive Support Officer Office of the Chief Operating Officer (COO) Reports to: Chief Operating Officer Employment Type: Full-time Location: Roebourne Role Summary We are seeking a Junior Executive Support Officer to support the Chief Operating Officer across multiple entities and projects. This is a development role suited to an organised, reliable junior professional who is keen to learn executive operations, administration, and project coordination. Key Responsibilities Executive & Administrative Support a) Provide day-to-day administrative support to the COO b) Assist with emails, correspondence, briefing notes, and document preparation c) Coordinate meetings, agendas, minutes, and action tracking Finance & Invoicing Support a) Track invoices, approvals, and supporting documentation b) Liaise with internal finance teams and external accountants c) Maintain simple registers and records Project & Reporting Support a) Maintain project trackers and action lists b) Assist with reports, dashboards, and board papers c) Support record-keeping for contracts, grants, and key documents Systems & Process Support a) Assist with HR, finance, and operational systems b) Maintain templates, checklists, and filing systems c) Support consistent workflows across the COO’s portfolio Skills & Experience Essential a) Strong organisational skills and attention to detail b) Clear written and verbal communication c) Professional, discreet, and reliable d) Willingness to learn and follow structured processes Desirable a) Prior administration or office support experience b) Exposure to finance, governance, or project work c) Confidence using Microsoft Office / Google Workspace What We’re Looking For a) A junior candidate with good judgement and work ethic b) Comfortable supporting a busy executive c) Open to mentoring and skills development What This Role Offers a) Direct exposure to senior leadership and operations b) Structured on-the-job training and development c) Opportunity to grow into a more senior support role over time
