Summary:

The Bid Coordinator is responsible for coordinating and managing the bid process for the organization. This includes identifying bid opportunities, preparing and submitting bids, and ensuring compliance with all bid requirements. The Bid Coordinator will work closely with various departments within the organization to ensure that bids are completed accurately and on time.

Responsibilities:

  • Develop and coordinate the bid process, including identifying potential opportunities, conducting re-search, and coordinating proposal development.
  • Coordination of internal stakeholders and sub consultant information necessary for proposal develop-ment, such as project scope, budget, and schedule.
  • Prepare and submit proposals in accordance with client requirements and firm standards, including writ-ing, editing, and formatting proposal content.
  • Manage the proposal review process, including ensuring compliance with client requirements, internal quality standards, and proposal submission deadlines.
  • Coordinate contracts and other legal documents related to bid submissions.
  • Maintain accurate and up-to-date records of all bid-related activities, including client information, proposal content, and submission details.
  • Develop and maintain a library of proposal content, including project data sheets, resumes, and other supporting materials.
  • Provide guidance and support to technical staff regarding the bid process, including best practices and firm standards.
  • Provide administrative support for the Global Services Team as required.
  • Attend industry events and conferences to stay informed of trends and best practices in proposal devel-opment and landscape architecture.
  • Monitor and track bid results and provide feedback to management
  • Participate in bid debriefings and post-bid analysis

Qualifications:

  • Bachelor’s degree in business, marketing, or a related field
  • 2+ years of experience in bid coordination in a landscape architecture or design firm
  • Ability to work independently and as part of a team
  • Strong attention to detail and accuracy
  • Proficient user of Adobe Creative Suite, specifically InDesign
  • Proficient user of Microsoft suite e.g. Word, Power point
  • Experience in the analysis, preparation, and co-ordination of tenders
  • Excellent verbal and written communication skills with internal and external stakeholders
  • Strong written and verbal communication skills, including excellent editing and proofreading abilities.
  • Excellent organisational skills and attention to detail.
  • Ability to manage multiple projects simultaneously and priorities workload effectively.
  • Strong interpersonal skills and ability to work collaboratively with project managers, technical staff, and external clients/subconsultants.
  • Knowledge of landscape architecture and design terminology and practices preferred.
  • An eye for graphic design and the ability to produce professional documents
  • Able to work independently as well as part of a team
  • A curiosity for ongoing learning & development and process efficiencies
  • Knowledge of bid regulations and requirements
