Your Role
As the Executive Assistant to Project Director,
you’ll be a key point of coordination for the Project Director, Director
Implementation and broader Project Delivery leadership team, providing
high-level executive, administrative and project coordination support in a
dynamic and complex environment.
You’ll:
• Manage executive calendars, correspondence, travel and
competing priorities to ensure effective time management and alignment with
strategic objectives.
• Prepare high-quality reports, briefings, presentations and
board papers with accuracy, professionalism and attention to detail.
• Monitor and track key deliverables, actions and milestones
across Project Delivery to support executive accountability.
• Coordinate stakeholder engagement activities, acting as a
trusted liaison with government agencies, industry partners and internal teams.
• Maintain key project registers and reporting tools,
including status reports, change registers and roadmaps.
• Provide secretariat support for leadership meetings and
forums, including agenda preparation, minute taking and action tracking.
• Lead or support cross-functional initiatives and process
improvement projects that enhance efficiency and governance outcomes.

You’ll Need
• Diploma in Business Management (or equivalent experience)
with extensive experience providing high-level executive support in complex,
fast-paced environments. • Demonstrated ability to manage multiple priorities
autonomously while maintaining exceptional quality and meeting tight deadlines.
• Strong stakeholder management skills, with experience
working in environments subject to high levels of scrutiny and corporate
governance.
• Proven capability in preparing professional reports, board
documentation and executive-level communications.
• Sound understanding of project and program management
methodologies and governance frameworks.
• High level of computer literacy, including proficiency in
Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint) and the
ability to quickly adapt to new systems.
• Excellent written and verbal communication skills, strong
organisational capability and a proactive, solutions-focused mindset.
• Demonstrated leadership capability, including coordinating
workflows, supporting team performance and driving continuous improvement
initiatives.
