The Role:

The Compliance Officer is a critical hire within the Healthcare Australia Doctors team. You will provide end-to-end placement support to Recruiters, ensuring all compliance, credentialing, travel, and invoicing requirements are met accurately and on time.

This role is ideal for a highly organised, detail-oriented professional who thrives in a fast-paced, remote environment and enjoys working collaboratively to support candidates, clients, and internal stakeholders.

Responsibilities:

– Manage and maintain job advertisements across relevant platforms

– Coordinate and track candidate availability for Recruiters (when applicable)

– Obtaining core documents from candidates for credentialing, and maintaining them on our CRM

– Monitor document expiries and obtain renewals as required

– Format and prepare candidate resumes

– Create and manage application records in the CRM

– Complete hospital and placement compliance paperwork on behalf of candidates

– Obtain Medicare provider numbers where required

– Coordinate and book travel for placements, including approval and reimbursement processes

– Communicate travel arrangements to candidates, clients, and Recruiters

– Providing all travel arrangements to the client, candidate & recruitment consultants

– Obtain approved timesheets from candidates or liaise with clients for sign-off

– Prepare documentation to support invoicing, candidate payments, and travel reimbursements

– Liaise with internal invoicing and payroll teams to ensure timely PAYG payments

Experience & Skills Required:

– Minimum 1 year of experience in an administrative role

– Strong written and verbal communication skills

– Proficiency in Microsoft Office

– Experience using a CRM system

– High attention to detail and strong organisational skills

– Ability to work autonomously in a fully remote setting

– Comfortable multitasking and working under pressure

– Ability to multi-task & work under pressure

– Strong prioritisation skills with a focus on meeting deadlines

– Able to operate effectively with minimal supervision in a matrix environment
