Summary:

We are seeking a motivated and detail-oriented Sales Administrator to join our dynamic team in Toorak, Victoria.

The Sales Administrator role is responsible for providing sales admin and marketing support to the agent/team, with the primary focus of improving efficiencies and productivity and reducing the administration workload from the sales agents.

The successful candidate will play a key role in ensuring efficient sales processes, enhancing customer satisfaction, and contributing to the overall success of our business.

Responsibilities:

  • ·         Provide ongoing sales assistance to sales employees by assisting with sales related activities
  • ·         Enter property details accurately into our database(CRM).
  • ·         Preparation of marketing schedules for property marketing campaigns.
  • ·         Activate marketing schedules in Kay & Burton Home once marketing has been paid and book print advertising spaces.
  • ·         Build marketing in Kay & Burton Home and email completed proofs to sales agents for approval, including boards, brochures, drop cards and print media.
  • ·         Manage internet property listings across all internet portals, as well as the booking of social media marketing.
  • ·         Managing and keeping up to date the sales admin operating system which includes all related tasks and compliance checks
  • ·         Ensuring all properties are compliant before making any changes throughout the sales process
  • ·         Coordinate correspondence to solicitors in relation to contract processing
  • ·         Produce and compile property reporting
  • ·         Prepare open packs and auction bags
  • ·         Occasional assistance with submissions if required
  • ·         Maintain campaigns on a weekly basis – adding/updating OFI times, board alternations, brochure reprints, image order updates etc.
  • ·         Order/coordinate pointer boards and auction services for all upcoming campaigns.
  • ·         Reconciliation of supplier invoices and liaise with agent for any outstanding marketing charges.
  • ·         Prepare gifts, keys and cards for settlements as well as liaising with Head Office to maintain office gifting stock.
  • ·         General printing/binding.
  • ·         Other administrative duties as required

Qualifications:

  • Proven experience as a Sales Administrator or in a similar role within the property and housing industry.
  • Strong organisational skills with the ability to manage multiple tasks effectively.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite and CRM software.
  • Attention to detail and a commitment to delivering high-quality work.
  • Ability to work independently and as part of a team.
