We are seeking a highly organised and detail focused Administration Officer to support our RTO operations and student administration processes. This role is ideal for someone experienced in VET administration who values accuracy, teamwork, and delivering great service to schools, students and stakeholders.
About the role
Reporting to the Administration Coordinator, you will provide accurate and timely administrative support across course and student management, compliance documentation, and general RTO operations.
We offer hybrid working (part-week from home) and flexibility in hours. For example, the role can be structured as five shorter days (later start/earlier finish) to align with school hours, with remuneration adjusted to reflect the agreed time fraction.
Key responsibilities include:
- Preparing classes and course data in the SMS
- Processing student enrolments, results, attendance, and completions in the SMS (VETtrak)
- Maintaining student records and compliance documentation to audit-ready standards
- Managing withdrawals, deferrals, extensions and credit transfers
- Supporting AVETMISS and state reporting requirements
- Conducting student file checks and issuing qualifications
- Supporting trainers with timetabling and program administration
- Handling phone enquiries and directing clients appropriately
- Maintaining registers, databases and quality records.
About you
You are an experienced VET administrator who thrives on accuracy, organisation, and service.
You will bring:
- Experience in VET administration (VETDSS and/or adult education)
- Excellent attention to detail and data accuracy
- Professional communication and customer service skills
- Ability to prioritise, problem-solve and work collaboratively
- A proactive, dependable and team-focused approach
- Strong MS Office skills (Word, Excel, Outlook)
- Ideally, strong working knowledge of the VETtrak SMS
- Experience with the aNewSpring LMS (or similar) would be highly regarded.
