The Strategic Projects Administration Officer plays a critical role in supporting the Strategic Projects Team through high-level administrative and technical coordination. You will contribute to the delivery of training, events, webinars and key projects, while maintaining reporting systems and ensuring effective communication with stakeholders across the sector.

About the Role

The position of Strategic Projects Administration Officer is responsible for the administrative and technical functions of the Strategic Projects Team and will provide support for projects, program & activity delivery, events, and webinars. The Strategic Projects Administration Officer will manage reporting systems including the Data Exchange Portal (DEX) and communicate with clients, stakeholders and partners to ensure they have timely and efficient access to information, support and materials. This role will also be responsible for supporting stakeholder engagement with community sectors, community groups, government and corporate leaders to ensure that communication regarding the status of all projects is managed from initial request to delivery. The Strategic Projects Administration Officer will provide administrative support for all finance, reporting and evaluation functions of the Strategic Projects Team.     

In this role, your key focus area will be:

 

Event Coordination:

  • Coordinate logistics for training sessions, forums and events (registrations, venues, catering, materials, travel and scheduling)
  • Support webinar delivery and technical setup

Database & Reporting

  • Maintain and update the Data Exchange Portal (DEX), including monthly data entry
  • Collate evaluation reports and manage project documentation
  • Prepare quarterly project reports and assist with contract and grant reporting

Stakeholder Engagement & Administration:

  • Act as a key administrative contact for clients, community groups, government and partners
  • Monitor and respond to enquiries, including inbox management
  • Maintain stakeholder systems to ensure timely communication and follow-up

Financial & Operational Support:

  • Liaise with Finance for invoice processing and reconciliations
  • Assist with Income & Expenditure reporting and grant monitoring
  • Coordinate promotional materials, website updates and project calendar
  • Organise team meetings and compile internal/external reports

Project Assistance: Assist with various projects as required.

This position requires strong organisational skills, attention to detail, and the ability to work collaboratively within a team and with external stakeholders.

Key Selection Criteria:

  • A suitable qualification plus at least 2 years’ experience in providing administrative support and assistance; previous experience in a similar role will be highly regarded.
  • Advanced MS office skills including Word, Power-Point, Excel and Outlook.
  • Skills in data collation and establishing/maintaining efficient administrative systems.
  • High level interpersonal skills: verbal, telephone and writing including the ability to liaise effectively with colleagues and stakeholders from a wide range of backgrounds.
  • Demonstrated ability to work effectively with limited supervision independently and as part of a team to exercise initiative, to set priorities and work within required timelines.
  • Excellent problem-solving skills, attention to detail and ability to prioritise and manage multiple tasks.

Desirable

  • Experience in working with Victoria’s Multicultural Communities.
