The Role
As Executive Assistant & Business Partner, you’ll provide comprehensive operational support to the Managing Director while maintaining a strategic perspective on the business. You’ll work closely with the MD’s existing junior Executive Assistant Development Manager, requiring strong collaboration and coordination skills to ensure seamless support across all areas of the business. This role demands commercial acumen, exceptional judgement, and the ability to engage confidently with senior stakeholders across finance, legal, government, and property sectors.
Your responsibilities will include:
Calendar & Meeting Management
• Full control of the Managing Director’s calendar, prioritising commitments to maximise strategic impact
• Ensuring the MD is impeccably prepared for every meeting—internal or external—with comprehensive briefings, background materials, and strategic context
• Anticipating information needs and coordinating preparation materials across teams
Stakeholder & Relationship Management
• Building and maintaining relationships with investors, financiers, government officials, local councils, and industry partners
• Coordinating high-level meetings with legal advisors, architects, joint venture partners, and consultants
• Representing the Managing Director at industry functions and networking events when appropriate
• Managing sensitive communications with discretion and professionalism
Financial & Commercial Coordination
• Monitoring financial performance across the development portfolio
• Coordinating with finance teams on investment papers, budget reviews, and financial reporting
• Tracking contractual obligations, key dates, and milestone payments
• Liaising with legal advisors on commercial agreements and compliance matters
• Supporting preparation of funding proposals and investor presentations
Cross-Functional Collaboration
• Coordinating closely with the MD’s junior Executive Assistant Development Manager to ensure aligned and complementary support to the Managing Director
• Working with design, construction, sales, and marketing teams to gather updates and ensure the MD is fully informed
• Coordinating information flow to provide consolidated briefings on project progress, challenges, and opportunities
• Facilitating communication across diverse functional teams
Research & Analysis
• Conducting market research on development opportunities and competitive landscape
• Preparing high-quality briefing materials, board papers, and executive presentations
• Supporting due diligence processes for acquisitions and new projects
Executive Administration
• Managing complex travel arrangements and logistics
• Organising board meetings and executive committee sessions
• Implementing systems to enhance operational efficiency
• Handling confidential information with absolute discretion
The Ideal Candidate
You bring a sophisticated commercial perspective, ideally developed through experience in legal, property, or real estate investment environments. You understand the language of property development, can interpret financial documents with ease, and engage confidently with senior stakeholders.
Essential qualifications and experience:
• Tertiary qualification in Law, Property, Business, Commerce, or related field
• 5-7+ years in executive support roles, preferably supporting C-suite executives
• Legal, property, or real estate investment background strongly preferred
• Demonstrated understanding of property development processes and commercial structures
• Sound knowledge of commercial and legal frameworks in property development
• Proven ability to interpret financial statements, investment papers, and commercial agreements
• Experience in or strong familiarity with residential and/or aged care development sectors.
• Advanced proficiency in cloud-based platforms for communication, project management, CRM systems, scheduling, research, and document creation. You should be highly tech-savvy and continuously engaged with emerging information and communication technologies.
