Role Overview

The Parts & Stores Coordinator supports parts sales, inventory control, and technician readiness. They source, quote, store, and distribute parts and consumables to ensure jobs are completed on time with the right resources.

Key Responsibilities

– Source, quote, and order parts for workshop and field jobs

– Upsell service kits, upgrades, and accessories to customers when quoting

– Receive, label, and store incoming parts and consumables

– Prepare job kits for mechanics and remote techs

– Track part usage and reordering levels

– Support warranty claims and parts returns

– Communicate with suppliers for pricing and lead times

Success Indicators

– Parts are available and correct for all scheduled jobs

– Increased parts revenue through upselling

– Minimal delays due to missing or late parts

– Inventory is clean, accurate, and well-organised

– Positive supplier and customer communication

Daily Tasks

[ ] Check upcoming jobs and prepare required parts

[ ] Receive, unpack, label, and shelf incoming stock

[ ] Follow up on outstanding or delayed part orders

[ ] Communicate with mechanics about part status or substitutions

[ ] Track part usage and update inventory

[ ] Respond to urgent part requests from field or workshop

Upselling Tasks

[ ] Review job quotes for upsell opportunities (kits, upgrades, accessories)

[ ] Suggest value-add parts or consumables to scheduler or quoting tech

[ ] Track and report upsell conversions monthly

[ ] Follow up on declined upsell items for future reference

Weekly Tasks

[ ] Stocktake high-use items and reorder where needed

[ ] Return unused or damaged parts to suppliers

[ ] Audit shelves and bin locations for cleanliness and accuracy

[ ] Update parts price list or supplier changes

[ ] Meet with workshop manager to review upcoming jobs and shortages
