We’re looking for a motivated and detail-oriented Advice Operations Coordinator to join our team. This is a varied, hands-on role that will see you working closely with multiple teams to ensure our business runs smoothly, efficiently, and in line with our high service standards.

About the role

You’ll be at the heart of our operations — supporting workflows, coordinating processes, and helping deliver exceptional client outcomes. You’ll work with our advice, administration, and support teams to manage day-to-day operational tasks, maintain data accuracy, monitor key processes, and ensure deadlines are met. This is a role for someone who enjoys variety and problem-solving, and who takes pride in getting the details right.

Key responsibilities

• Oversee and coordinate operational workflows across advice teams to ensure high-quality and timely outputs.

• Maintain and update client and business data across our systems, ensuring accuracy and consistency.

• Monitor progress of ongoing work, troubleshoot issues, and escalate when necessary to keep processes moving.

• Support the preparation and completion of client documentation and related compliance requirements.

• Liaise with internal teams and external providers to facilitate smooth product implementation and client service delivery.

• Assist with tracking and reporting on workflow progress against service level agreements (SLAs).

• Review processes and contribute to ongoing improvements that enhance client experience and operational efficiency.

• Provide technical or procedural guidance to team members as needed.

• Contribute to project work or ad-hoc operational initiatives as required.

About you

• A few years’ experience in financial services, or a related industry.

• High attention to detail and a commitment to delivering accurate, quality work.

• Proactive, organised, and able to manage multiple priorities at once.

• Comfortable working both independently and collaboratively across teams.

• Strong communication skills and the ability to build positive relationships.

• Willingness to learn new systems and processes (experience with Xplan is an advantage, but not essential).

• A can-do attitude and a genuine desire to contribute to a positive workplace culture.

• Respectful and comfortable working across different cultural backgrounds and time zones.
