About the role

Based at our manufacturing facility in Balcatta, this is a diverse, hands-on role suited to someone who enjoys variety, combining front-facing reception duties with administrative support across a range of HR, Finance and other business functions. In our small team environment, everyone plays a part and this role requires a flexible, team-oriented approach and a willingness to assist wherever needed.

Primary Duties   

  • Professionally address/ direct all incoming calls, faxes and emails
  • Professionally assist all visitors / deliveries ensuring they are attended to
  • Collecting / distribution of mail / packages, ensuring outgoing mail is posted daily
  • Coordinate all stationary, coffee, tea and milk for the site.
  • Manage relevant logbooks (Visitors & Roof space access)
  • Perform safety audits
  • Manage training management system, including Document Systems updates and reports
  • Coordinate wellness communication and other information to raise awareness
  • Manage birthday cards and long service awards
  • Coordinate and publish the quarterly company newsletter, including collating content from across the business and contributing original and engaging articles
  • Coordinate staff events, engagement activities and competitions
  • Purchase Order administration in Epicor ERP system
  • Ad hoc assistance across a range of business functions e.g. data capturing, collation of information

Skills & Experience

  • Professional telephone manner and communication skills
  • Previous experience in a similar role
  • Proficient with MS office and specifically Word, Outlook, Excel and Publisher
  • Ability to work on own and use initiative including creating letters and other communications
  • Demonstrate a collaborative approach and actively contribute to a positive team environment
  • Certificate or Diploma in Office Administration will be an advantage
