We have got an exciting opportunity for a Senior Admissions Officer to be part of our team at Victoria University Sydney and Brisbane in our Sydney campus.

Key Responsibilities:

  • Finance / Growth / Governance / Risk: 

    • Assess and process international student applications in line with VU policies, ESOS and CRICOS requirements.

    • Prepare and issue Letters of Offer, Conditional Offers and CoEs in accordance with regulatory and VU  guidelines.

    • Ensure compliance with ESOS, CRICOS and all relevant regulatory frameworks to mitigate institutional risk.

    • Maintain accurate data entry and records across systems (StudyLink, Salesforce, TechOne, SOne, Meshed) to support governance and audit readiness.

    • Assist with preparation of audit materials, compliance checks and quality reviews.

  • Quality / Operational Excellence & Business Improvement:

    • Conduct quality checks on assessments, offers, CoEs and documentation to ensure accuracy and data integrity.

    • Maintain targetsheets, spreadsheets and reporting data to support operational oversight.

    • Assist with the preparation of weekly, monthly and ad-hoc reports (visa outcomes, productivity, turnaround times, trends).

    • Contribute to continuous improvement initiatives, systems enhancements and process updates.

    • Participate in team meetings, training and operational improvement activities.

    • Undertake projects as required by the Admissions Manager.

  • People / Culture / Leadership: 

    • Provide day-to-day support the admissions manager.

    • Assist the Admissions Manager with training the team, monitoring team performance, workflow planning and workload allocation.

    • Support the induction and training of new staff including systems, processes and academic assessment.

    • Provide coaching and ongoing development to team members to improve accuracy, consistency and productivity.

    • Provide backup support during high-volume periods or staff absences to maintain team performance.

    • Support the Admissions Manager with general ad-hoc tasks and team management.

  • Customers (agents, students, internal & external stakeholders)

    • Respond promptly and professionally to enquiries from agents, applicants, VU officers and internal stakeholders. Establish and maintain strong relationships with few agents to support sustainable growth in the business.

  • Liaise with recruitment, student services, enrolments, finance, marketing and other teams to ensure clarity and accurate decision-making.

  • Follow up on outstanding documents to ensure compliance and smooth processing for students and agents.

  • Ensure accurate, timely and customer-focused communication to support a positive student and agent experience.

As the successful candidate you will ideally have:

  • Qualification: Bachelor’s degree or equivalent experience

  • Experience in: 

    • the international education sector

    • an international admissions team in Australia.

    • academic assessment.

    • managing complex cases.

    • working with multiple stakeholders

  • Knowledge: Strong understanding of ESOS Act, National Code, CRICOS requirements, Student Visa application, GS considerations and visa risk implications. Solid understanding of international qualifications, equivalencies and academic assessment methodology.

  • Skills

    • Strong decision-making skills, including handling complex cases.

    • High-level communication and negotiation skills.

    • Ability to oversee workflow, monitor deadlines and support team performance.

    • Proficiency with student management systems and Microsoft tools.

    • Exceptional attention to detail and accuracy.

    • Ability to work independently and provide guidance to others.

    • Fast learner, with the ability to quickly acquire new systems and policy knowledge.
