About the role

The role contributes to the effective delivery of the Marketing & Communications portfolio by supporting operational functions, including awards administration, campaign coordination, reporting, and platform support.

This position enables the broader team to focus on strategic and creative priorities by ensuring administrative processes, systems, and documentation are managed efficiently and accurately.

 

You will also:

  • Provide administrative support across marketing campaigns, communications, and engagement activities
  • Maintain accurate and organised records of marketing plans, reports, campaign materials, and communications
  • Assist with the scheduling, coordination, and documentation of marketing activities and timelines
  • Support the administration of Awards, Grants, and Prizes programs, including application processing and documentation
  • Assist with coordinating submissions, judging processes, and the internal tracking of nominations
  • Maintain accurate records of award recipients and program reporting
  • Assist with the preparation, proofing, and scheduling of EDM communications, including link checking and formatting
  • Maintain accurate records of partnerships and sponsorships via Pipedrive
  • Coordination, risk assessments and documentation with potential sponsors
  • Support the Campaigns & Communications Officer in coordinating campaign activities
  • Assist in the preparation of marketing reports, presentations, and briefing materials
  • Support updates to marketing contact lists and CRM systems as directed.
  • Assist with the preparation and collation of data for campaign reporting and analysis
  • Provide administrative support across marketing platforms and systems as required
  • Coordinate administrative aspects of marketing-related events, including registration support and documentation
  • Assist with the preparation of event materials and marketing collateral.
  • Support the coordination of meetings, agendas, and associated documentation for working groups

 

About You

This is a full-time, fixed-term role through to 30th June 2026 based in Canberra. The successful candidate will bring a proactive and organised approach, with a strong ability to provide high quality administrative and coordination support within a dynamic marketing and communications environment.

 

Essential

  • Demonstrated administrative experience supporting marketing, communications, or project teams
  • Strong organisational and time management skills, with the ability to manage multiple priorities effectively
  • High level of attention to detail, particularly in document preparation, formatting, and data management
  • Well-developed written and verbal communication skills
  • Proven ability to work collaboratively with a range of internal stakeholders
  • Proficiency in Microsoft Office and digital collaboration tools

Desirable

  • Experience working within a membership based or not for profit organisation
  • Experience supporting marketing campaigns, communications, or event coordination activities
  • Familiarity with CRM systems or marketing platforms
  • Experience supporting awards programs, events, or stakeholder engagement initiatives
  • Experience assisting with the preparation of reports, presentations, or briefing materials
