We are now seeking a Resources Coordinator to join our Colombo operations—an organised, proactive, detail-driven individual who plays a pivotal role in ensuring our delivery teams operate efficiently, effectively, and with clear visibility of workload and capacity.

🔎 About the Role

The Resources Coordinator is responsible for managing the intake, scheduling, and allocation of internal resources across Cube Networks’ delivery functions. This includes receiving new work requests, creating project records in Autotask, maintaining accurate resource schedules through Resource Guru, and supporting project teams to meet delivery and billing expectations.

This role is central to the smooth functioning of Cube Networks’ operational engine—balancing incoming demand, ensuring the right skills are assigned to the right work, and forecasting utilization and billing outcomes to support business performance.

📌 Key Responsibilities

Work Intake & Project Setup

Receive and validate incoming project and work requests.

Create accurate project records in Autotask, including billing, scheduling, and contract setup.

Liaise with Sales, PMO, and Engineering leads to confirm priorities, timelines, and required skill sets.

Resource Coordination & Scheduling

Allocate resources across PMO and engineering teams based on timelines, expertise, and availability.

Maintain real-time visibility of bookings, utilization, leave, and capacity in Resource Guru.

Communicate upcoming assignments, changes, and scheduling impacts to team leads and resource owners.

Capacity Management & Utilization Tracking

Monitor workloads across BAU and project activities.

Identify bottlenecks, conflicts, and capacity gaps, escalating where needed.

Maintain dashboards and scheduling data within Autotask and Resource Guru.

Reporting & Forecasting

Produce weekly, monthly, and quarterly reporting on utilization, billing forecasts, and scheduled vs actual effort.

Provide insights and recommendations to leadership on trends, constraints, and improvement opportunities.

Support PMO and Finance with data for invoicing and revenue forecasting.

Continuous Improvement

Maintain data accuracy across all resource tools and systems.

Recommend process improvements in scheduling, intake workflows, and reporting.

Contribute to better practices in workforce planning and operational delivery.

🎓 Skills, Experience & Qualifications

Essential

Experience in resource coordination, scheduling, PMO support, or similar operational role.

Strong understanding of professional services workflows and time-tracking processes.

Proficiency with Autotask, Resource Guru, or similar PSA/scheduling tools.

Excellent organisational skills with the ability to manage competing priorities.

Strong communication abilities across both technical and non-technical stakeholders.

High attention to detail and data accuracy.

Desirable

Experience in IT services, managed services, or engineering-focused environments.

Knowledge of billing processes, utilisation metrics, and revenue forecasting.

Familiarity with Agile or Waterfall project methodologies.

Strong Excel/Google Sheets reporting skills.
