Summary:

We are seeking a highly motivated and detail-oriented Paralegal to join our team for 6-months minimum with potential to extend to 12 months or longer . The successful candidate will be responsible for providing comprehensive support to the General Counsel and other stakeholders within the business. The Paralegal will ensure smooth operations, effective communication, and efficient management of tasks related to an array of various legal matters and overall administrative functions.

Responsibilities:

1. Conveyancing or Off the Plan (OTP) Transactions

  • Maintaining OTP inbox for various project sales
  • Preparation and review of Master documentation (Options, Contracts, 88B and draft dealings)
  • Coordinating the preparation of OTP contracts post sales advice.
  • Preparing and coordinating standing instructions for amendments
  • Liaising with internal teams and instructing/coordinating OTP negotiations and exchanges
  • Coordinating and facilitating settlement, extensions, rescissions, terminations etc. Liaising with internal and external stakeholders accordingly.
  • Preparing internal excel spreadsheets for project sales (exchanges, settlements, rescissions etc.)
  • Ordering searches conducting due diligence
  • Transacting in PEXA on stand alone or non-OTP matters
  • Preparation and lodgment of Caveats, Mortgages, withdrawals etc.
  • Ancillary conveyancing or OTP matters.

2. Finance (Presales and CPs)

  • Liaising and coordinating with external law firms on presale certification & presale requirements.
  • Coordinating and assisting with condition precedents (CPs)
  • Coordinating VOIs and arranging for document execution

3. Acquisition transactions

  • Prepare summaries on initial review of proposed transaction documents (exclusivity deeds, options, contracts)
  • Assisting with legal negotiations and legal due diligence.
  • Instructing law firms on proposed amendments for acquisitions (incorporating CG preferred amendments or bespoke).
  • Facilitating exchange of acquisition transaction documents.
  • Preparing pre-exchange and post-exchange summaries for internal stakeholders
  • Diarizing key dates post exchange (including payment or other key obligations) including reminders.
  • Stamping trust deeds, arranging for certifications etc.
  • Liaising with internal teams and external law firms on calculation and payment of duty.
  • Liaising with external law firms to facilitate settlement

4. Document Preparation/Filing:

  • Assist with document preparation, filing, scanning and saving documents
  • Create and maintain OTP Folders
  • Preparing deeds or other legal documentation off precedents.
  • Preparing documentation for DocuSign or execution.

5. Research and Reporting:

  • Assist with research on various topics including, for example, changes in legislation affecting OTP or property development
  • Prepare reports, summaries and briefs

6. Administrative

  • Maintain an organised filing system for documents, records, and confidential information (mostly online but may include some physical filing)
  • Assisting with administrative tasks such as printing, scanning, preparation of briefs or folders etc.
  • Liaising and updating accounts teams on key payment obligations from transactions.

Qualifications:

  • 10-15+ years of experience as a paralegal or senior licensed conveyancer, with a focus on conveyancing, off the plan developments (with presale finance experience).
  • Exceptional organisational and time management skills, with a high attention to detail
  • Strong communication skills (both written and verbal).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and PEXA.
  • Experience with Clickup and Trisearch desirable
  • Conveyancing License desirable
