About this opportunity

We’re seeking an organised and proactive Service Administrator to support our Newcastle Service team. This role is central to the day‑to‑day coordination of service operations, providing administrative support across scheduling, job management, invoicing and technician records.

You’ll be the first point of contact for calls and enquiries, manage service and maintenance jobs through Simpro, assist with daily scheduling, and ensure accurate timesheets, invoicing and reporting. This is a varied, hands‑on role suited to someone who enjoys working in a fast‑paced service environment and takes pride in efficiency and accuracy.

You can expect to:

  • Provide front‑of‑house support, including answering calls and managing the general inbox
  • Raise service calls and maintenance jobs in Simpro and issue them to technicians
  • Coordinate daily scheduling and communicate job allocations to technicians
  • Raise and manage invoices for service and maintenance jobs, resolving any issues
  • Review and update technician timesheets to ensure accurate hours and coding
  • Maintain technician records, including licences, training, inductions and prequalificatio
  • Manage operational rosters, including RDO, on‑call and apprentice rosters
  • Oversee staff amenities and office supplies
  • Compile monthly activity and fire compliance reports for Account Managers
  • Coordinate vehicle registrations and servicing requirements
  • Act as a point of contact for marketing activities, vehicle signage, and office maintenance
  • Undertake general administration duties such as data entry, filing and arranging couriers
  • Provide backup support to the Service Coordinator during busy periods and leave

About you

You will bring strong organisational skills and a professional, team focused approach to your work. You are confident managing multiple tasks and thrive in a fast-paced service environment.

To be successful in the position, you will have the following:

  • Year 12 certificate or equivalent
  • Tertiary qualification in administration/management (desirable)
  • Previous experience in a similar service coordination or office administration role
  • Highly developed Microsoft Office skills
  • Strong attention to detail and time management skills
  • Confidence working with job management systems (Simpro experience highly regarded)
  • A proactive mindset with a commitment to continuous improvement
  • The ability to communicate clearly with technicians, managers and stakeholders
