WHAT’S THE ROLE?
The Student Services & Lifecycle Coordinator is responsible for managing student enquiries via student portals, email, and face-to-face. You will oversee student requests and liaise with key academic staff in the processing of exam scheduling, survey distribution, and other academic administration tasks. This role contributes to the broader student experience through organisation of key student events and engagement initiatives. You may be required to take directions from team members within the Student Experience and Success team or AIM Leadership Group.
WHAT ARE YOUR KEY DUTIES?
Manage Student Enquiries
- Respond in a timely manner to face-to-face,
student portal and phone/email enquiries, providing accurate and responsive information and resolution to student concerns, escalating as per applicable
processes.
- Assist in the tracking of student enquiries to influence Student Counter staffing requirements.
- Assist in preparing customer service-related tasks for casual Student Counter staff to ensure consistency, timeliness and accuracy of delivery.
- Assist in administration of assessments and examinations including student enquiries pertaining to adjustments, extensions, and special consideration.
- Regularly update and maintain notes related to student enquiries.
Enrolment & Registration
- Under direction from the Student Services Manager, answer enquiries from current students related to degree and unit
enrolment. This may include mapping course plans and providing advice on the
availability of units.
- Be a trusted advisor for current students regarding each of AIM’s courses and provide advice related to career outcomes.
- Assist with the administration of course transfers, unit enrolment, and data collection and collation related to student enrolment.
- Assist with reconciling student enrolment, following up with students who have not enrolled in units to provide customer service and support. This includes providing customer service to students who are returning from deferral or a longer absence from the course.
- Assist the Admissions function and Student Experience and Success Team Leader in relation to completion checks and graduations.
Support the Student Journey
- Lead the end-to-end planning of key student lifecycle events such as orientation and graduation, and participate in other campus-based events for prospective students, specific to the student experience.
- Provide proactive support in the planning and delivery of other key student engagement activities to enhance students’ sense of belonging.
Other Administration Support
- Undertake other administrative duties as required including those related to opening and closing the campus and greeting visitors.
- Process fees and charges related to the administration of student cards and late fees.
- Demonstrate capacity to quickly learn and adapt to new Student Services technologies or related tools and communication platforms.
Qualifications
Essential:
- Diploma or above in administration or related discipline or a minimum of 2-years relevant work experience.
Desirable:
- Bachelor’s degree in relevant area.
Knowledge & Experience
Essential:
- Experience in providing high-level customer service with a passion for helping people to succeed.
- Demonstrated experience of administrative and engagement skills essential to the role.
- Demonstrated experience working within a database or administration-related role.
- Experience within an educational environment.
- Demonstrated clear and friendly verbal and written skills with a positive and practical approach to customer service.
- Ability to work positively and harmoniously with staff and students of all cultures and backgrounds.
- Demonstrated experience working within a high-performing team.

SALARY
Permanent, Full-Time: $60,000 – $62,000 + 12% super (per annum)
