Backed by some of Australia’s most influential business, philanthropic, media and community leaders, AIEF has grown from one scholarship student in 2008 to now supporting over 1,500 young Indigenous people from over 400 communities in every state and territory of Australia.

AIEF has consistently achieved annual retention and Year 12 completion rates and career transition rates above 90% since funding its first scholarship in 2008.

The Role

Reporting to the Manager – Finance, the Data Analyst (Scholarships) will be responsible for managing the financial distributions and the associated administrative backend of AIEF’s Scholarship Program. This includes budgeting, payments, invoicing, acquittals reporting, data analysis, and process automation to ensure efficient and compliant delivery of the program at scale.

Role Deliverables

1. Accurate management of scholarship budgets, distributions, reporting and acquittals.

2. Management of deliverables tracking and compliance with funding agreements.

3. Development and maintenance of automated workflows and reporting.

4. Ensure data integrity across SharePoint, Microsoft Dynamics CRM, and related systems.

5. Maintain accurate and up to date policies and procedures.

6. Onboarding and training of new team members.

7. Provide accurate information and support annual reporting processes.

8. Data analysis and projections for AIEF’s Scholarship Program and financial data.

Key Responsibilities

The Data Analyst (Scholarships) will have responsibility and accountability for the following:

Financial Administration and Compliance

  • Manage budgeting, payments, invoicing, reporting and acquittals for AIEF’s Scholarship Program.
  • Ensure compliance with funding agreements and organisational policies.
  • Prepare accurate analysis, reports and acquittals for internal and external stakeholders.
  • Manage and maintain relationships with finance staff at AIEF’s Educational Partners.

Data and Systems Management

  • Analyse and manipulate large volumes of data to ensure accuracy and integrity.
  • Maintain and optimise workflows using Microsoft Power Automate and SharePoint.
  • Ensure CRM system (Microsoft Dynamics) is up-to-date and aligned with program requirements.
  • Develop reporting and tools to monitor program performance.
  • Provide support for ad-hoc queries regarding AIEF’s Scholarship Program in support of internal and external queries and requirements.

Process Improvement and Risk Management

  • Identify opportunities to streamline processes through automation and best practice.
  • Support audits and risk management processes related to financial operations.
  • Contribute to continuous improvement initiatives for efficiency and compliance.

Critical Success Factors

  • All eligibility requirements and deliverables are received and approved by due dates and before scholarship distributions are paid.
  • All Scholarship distributions, reports, and acquittals, etc. are completed to high quality and on time.
  • BAU Mastery and Flawless Execution in all aspects of the role.

Key Selection Criteria

  • Tertiary, or other qualifications or experience in related field
  • Strong commercial acumen and experience managing budgets, payments, reporting and acquittals
  • Advanced skills in Microsoft Excel, SharePoint, and automation tools such as Power Automate
  • Ability to analyse and manipulate large datasets with accuracy and attention to detail
  • Working knowledge of Microsoft Dynamics CRM (desirable)
  • Demonstrated experience in building effective and professional relationships with internal and external stakeholders
  • Ability to handle confidential information with discretion and professionalism
  • Ability to understand financial data and produce reports using excel
  • Ability to work under pressure and manage multiple tasks and deadlines
  • Strong organisational skills and attention to detail
  • Excellent written and verbal communication skills, with the ability to convey complex ideas clearly and concisely.
  • Ability to collaborate effectively with a range of stakeholders
  • Proactive, self-motivated and able to work independently
  • Experience working in Indigenous education is highly desirable

Additional

The role will require travel to meetings, conferences and events as needed.
