About the role:
We are seeking an experienced Project Support Coordinator to provides coordination and administration support to ensure projects are delivered on time, within budget, and to scope while maintaining compliance and stakeholder alignment.
Based in our Hawthorn East office, you will work closely with our Project Managers and team in successful delivery of multiple concurrent projects by managing schedules, documentation, budgets, invoicing, and stakeholder communications. The role ensures accurate tracking, reporting, and compliance with project governance while driving smooth coordination across teams.
Key Responsibilities
- Maintain and update project schedules, trackers, and issue logs
- Track project budgets and expenditure against forecasts
- Coordinate purchase orders, supplier invoicing, and reconciliations
- Identify budget deviations and recommend corrective action
- Coordinate and document project variations and scope amendments
- Collect and compile information for client invoicing
About You
- Minimum 3 years’ experience in project coordination, administration, or operations support
- Proven track record in managing project schedules, budgets, and reporting
- Exposure to invoicing, financial reporting, and procurement processes
- Experience in fast-paced environments with competing deadlines
- Construction, contracting, HVAC, or field services industry background (highly regarded)
