Scheduling Officer – Full Time

Location: Head Office – Penrith NSW Hours: Monday to Friday (38 hours per week)

As we continue to grow, we are seeking a highly organised and proactive individual to join our team as a Full-Time Scheduling Officer based at our Penrith Head Office.

Position Overview

As our Scheduling Officer, you will play a vital role in ensuring the effective rostering and coordination of Disability Support Workers across our services.

You will be responsible for developing and maintaining staff rosters, allocating shifts, coordinating service delivery, and ensuring adequate workforce coverage to meet participant needs. The role requires strong organisational skills, excellent communication abilities, and the capacity to operate effectively in a fast-paced environment.

You will work closely with Team Leaders, management, support staff, participants and families to ensure that services are delivered efficiently, professionally, and in line with organisational and NDIS requirements.

Key Responsibilities

Roster Management

  • Develop and maintain staff rosters using ShiftCare or equivalent rostering systems.

  • Coordinate roster development in consultation with Team Leaders to ensure staff availability aligns with participant needs.

  • Allocate shifts based on staff skills, availability, participant requirements and service agreements.

  • Ensure rosters are cost-effective and minimise non-billable hours where possible.

  • Ensure all roster data remains accurate, up to date and compliant with award provisions.

  • Monitor workforce capacity and assist with identifying staffing gaps.

  • Ensure shifts are distributed fairly and equitably amongst staff.

  • Resolve roster queries and changes promptly.

  • Optimise staff allocation to minimise unnecessary travel between participants.

Communication & Staff Coordination

  • Liaise with Disability Support Workers regarding roster allocations and shift updates.

  • Communicate any roster changes with participants, families and relevant staff in a timely manner.

  • Provide support and guidance to staff regarding rostering procedures and the use of scheduling systems.

  • Maintain positive relationships with internal teams, participants and stakeholders.

On-Call and Operational Support

  • Assist in managing rostering issues including staff absences, participant cancellations and urgent service changes.

  • Ensure urgent rostering matters are actioned promptly to maintain continuity of care.

  • Maintain accurate documentation of rostering updates, handovers and service changes.

  • Monitor and update on-call tracking systems where required.

Administrative and Operational Support

    • Provide administrative support to the personalised supports team as required.
    • Ensure service delivery aligns with ADSR policies, procedures and NDIA guidelines.
    • Maintain accurate participant and staff records within internal systems.
    • Support payroll and finance processes by ensuring accurate roster and service delivery data.
    • Assist in reconciling delivered service hours with rostered hours.
    • Monitor service agreement balances to ensure services remain within approved limits.
    • Participate in continuous improvement initiatives within the organisation.
  • Team Contribution

    • Participate in meetings, supervision sessions and performance reviews.

    • Support team collaboration and positive workplace culture.

    • Demonstrate ADSR values through professional conduct and excellent customer service.

    • Contribute to maintaining a safe, respectful and inclusive workplace.

    Qualifications and Skills

    Essential Requirements

    • Previous experience in rostering, scheduling or workforce coordination (preferably within disability, healthcare or community services).

    • Strong organisational skills with the ability to manage multiple priorities.

    • Excellent written and verbal communication skills.

    • High level of computer literacy and ability to work with rostering systems.

    • Strong problem-solving and decision-making abilities.

    • Ability to work both independently and collaboratively within a team environment.

    • Strong attention to detail and ability to maintain accurate records.

    Compliance Requirements

    • NDIS Worker Screening Check

    • Working With Children Check

    • Current First Aid and CPR

    • Current Driver’s Licence

    Desirable Experience

    • Experience working within the NDIS sector.

    • Experience using ShiftCare or similar rostering systems.

    • Relevant qualifications in Disability, Community Services or Leadership and Management.
