Description

We are seeking a proactive and detail-driven Contract Administrator to join our growing construction team. This role is critical to the successful delivery of our projects, overseeing contracts, supporting site operations, managing financial controls, and ensuring projects are delivered safely, on time, and to a high standard.

You will work closely with State Managers, Project Managers, site teams, subcontractors, and clients, playing a hands-on role across the full project lifecycle.

About the Role

As Contract Administrator, you will be responsible for managing construction contracts, monitoring project performance, coordinating trades, and ensuring contractual, financial, safety, and quality compliance across multiple projects.

This role suits someone who thrives in a fast-paced construction environment, has strong commercial awareness, and enjoys being involved both in the office and on-site.

Key Responsibilities

Contract Management

Draft, review, negotiate, and finalise construction contracts

Review subcontractor agreements to ensure alignment with project scope, company policies, and legal requirements

Lead or participate in contract negotiations to achieve favourable outcomes

Project & Site Coordination

Act as a key point of contact for site supervisors and project teams

Oversee trade coordination and project progress

Step in to manage site operations when required, either remotely or on-site

Conduct regular site visits to monitor progress, quality, and safety

Variations, Claims & Invoicing

Process variations, progress claims, and payment applications accurately and efficiently

Ensure all client invoices are prepared and issued prior to the 25th of each month

Maintain high documentation standards to prevent invoice rejections

Work closely with finance to ensure timely payments and approvals

Project Planning & Execution

Assist in project planning, including scope, budget, scheduling, and resourcing

Track milestones, deliverables, and timelines

Provide regular progress reports and updates to stakeholders

Stakeholder Communication

Maintain clear and timely communication with clients, subcontractors, and internal teams

Respond to urgent client requests within required timeframes

Attend and follow up all project meetings, ensuring actions are completed

Provide comprehensive weekly progress updates

Quality, Safety & Compliance

Ensure all works comply with company standards and regulatory requirements

Review and manage WHS documentation, SWMS, safety plans, and inductions

Conduct site audits and ensure corrective actions are implemented

Ensure all contractor insurances and safety documentation are compliant and site-specific

Manage incident reporting and close-out processes

Financial & Budget Control

Monitor project costs and financial performance

Ensure projects meet budget targets

Identify and escalate risks relating to budget overruns or margin deviations early

Documentation & Reporting

Maintain accurate and up-to-date project documentation

Ensure all project records are properly stored and accessible

About You

You are organised, commercially minded, and confident managing multiple priorities. You communicate clearly, take ownership of outcomes, and work well with both site and office teams.

You will have:

A Bachelor’s degree in Construction Management or similar

Minimum 2 years’ experience in construction coordination, contract administration, or a similar role

Strong knowledge of construction processes and safety regulations

Excellent organisational, time management, and multitasking skills

Strong written and verbal communication skills

High attention to detail and a results-driven mindset

Proficiency in Microsoft Office (Excel and Project essential)

Experience with construction management software (highly regarded)
