ABOUT THE ROLE

We are seeking an organised and detail‑driven Tender, Contracts and Compliance Officer to join our commercial team in Brisbane.

This role plays a critical part in coordinating and submitting high‑quality tender responses across the business, while also managing the administration and tracking of customer and supplier contracts. You will work closely with stakeholders across Commercial, Operations, Finance, QA/RA and Marketing to ensure all tenders, contracts and compliance obligations are delivered accurately, on time and in line with business and customer requirements.

A background in document control and structured process management is highly desirable, as accuracy, version control and compliance are central to this role. Experience within pathology, healthcare, medical devices or other regulated industries will be viewed very favourably.

ABOUT THE OPPORTUNITY

Reporting to the National Accounts Manager, this role has a primary focus on:

  • Coordinating tenders end‑to‑end across multiple business units
  • Maintaining contract registers, renewals and compliance documentation
  • Supporting audit, reporting and commercial governance processes

While this role does not negotiate contracts, it plays a key enabling role in ensuring contracts, tenders and commercial documentation are current, accurate and accessible.

KEY RESPONSIBILITIES

Tender Coordination

  • Coordinate and manage tender responses across the organisation
  • Review tender specifications, identify requirements and coordinate inputs
  • Maintain a central library of tender templates, pricing schedules and supporting documentation
  • Ensure tenders are accurate, compliant and submitted within deadlines
  • Support post‑tender clarification requests and documentation

Contracts Administration & Document Control

  • Maintain customer and supplier contract registers, including version control, renewal tracking and key obligations
  • Coordinate internal contract review and execution workflows
  • Ensure contract documentation is stored, updated and accessible in line with company policies
  • Communicate key contractual requirements and timelines to internal stakeholders

Compliance & Commercial Support

  • Support compliance checks, audits and reporting obligations
  • Enter and maintain contract and documentation records within Salesforce and internal systems
  • Support product recalls, updates, launches and regulatory documentation changes
  • Assist with pricing updates, reporting and data analysis
  • Provide administrative and governance support to commercial leadership

SKILLS AND EXPERIENCE

To succeed in this role, you will ideally bring:

  • Experience in tender coordination, document control, contracts administration or commercial support
  • A strong understanding of processes, documentation standards and compliance requirements
  • Exceptional attention to detail and accuracy
  • Strong written communication skills and confidence working with complex documentation
  • The ability to manage competing deadlines in a fast‑paced environment
  • Strong stakeholder engagement skills across multiple business functions
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and document management systems

Highly desirable:

  • Background in document control, quality systems or regulated environments
  • Experience in pathology, healthcare, diagnostics, medical devices or life sciences
  • Familiarity with hospital or government tender processes
  • Understanding of contract lifecycle management best practice
  • Relevant tertiary qualifications
