Location: Kingston Council Area/Melbourne South Eastern Suburbs | Hybrid (Office attendance Thursdays)

Type: Part-Time, 3 days per week (22.5 hours)

Contract: 12-month fixed term

Award Classification: SCHADS Level 4

Emerge Women & Children’s Support Network is seeking an experienced and organised Bookkeeper Administrator to support our finance and operations functions. This role is ideal for someone with strong administrative and bookkeeping skills who enjoys working across a variety of tasks in a collaborative team environment.

Emerge Women & Children’s Support Network (Emerge) is a specialist family violence organisation based in the City of Kingston, with almost 50 years of continuous operation supporting women and children. We provide secure 24/7 refuge, crisis accommodation, temporary housing and outreach programs. We also offer therapeutic services and case management support to empower families to recover and rebuild their lives in safety. Our work is grounded in a deep commitment to gender equity, trauma-informed practice and continuous innovation to meet the evolving needs of our clients.

About the Role

The Bookkeeper Administrator plays a key role in ensuring smooth day-to-day operations and financial administration. You will support the Operations Director and HR and Business Lead with a range of tasks including reconciling receipts, invoice management, procurement, equipment coordination and general office support.

Key Responsibilities

• Manage the finance inbox, forwarding invoices to HubDoc with appropriate notes for accurate account allocation.

• Oversee purchasing and stocktaking of office amenities to maintain adequate inventory levels.

• Arrange internal functions, including calendar invites, venue bookings, and catering as required.

• Maintain and stocktake computer equipment and mobile phones, including setups for new employees and collections from departing staff.

• Assist with general data entry and record keeping tasks to ensure organisational records are up to date.

• Coordinate general office maintenance and liaise with property managers and service providers for repairs and services.

• Support Emerge’s organisational objectives by working within policies and upholding organisational values in all interactions.

• Participate in relevant training, professional development, and supervision.

• Maintain confidentiality of site locations and sensitive information in line with security requirements.

• Adhere to work health and safety procedures, report workplace hazards or incidents promptly, and manage role responsibilities with psychological and emotional robustness.

What We’re Looking For

Essential

• Experience in administration and bookkeeping

• Highly organised with strong attention to detail

• Proficient in MS Office and email platforms

• Excellent communication and interpersonal skills

• Ability to work independently and manage competing priorities

Desirable

• Familiarity with Xero and HubDoc

• Experience in the not-for-profit or community services sector

Mandatory Requirements

• Working with Children Check (Employee version)

• Current Victorian Driver’s Licence

• National Police Check (and international if applicable)
