Junior Executive Assistant to the Chief Operating Officer

About the role
We are seeking a Junior Executive Assistant to support the Chief Operating Officer (COO) at Education Centre of Australia (ECA).
This is a development opportunity for someone with a strong administrative foundation who is ready to step into executive support and build toward a full Executive Assistant career. You’ll work closely with the COO, supporting day-to-day coordination across ECA’s multi-campus, regulated education environment, while developing the judgement, confidence, and skills required of an EA.
What you’ll be doing
You’ll support the COO with a mix of executive administration, coordination, and follow-up, including:
Executive & Diary Support
- Assist with managing the COO’s diary across multiple campuses and stakeholders
- Coordinate internal and external meetings
- Prepare meeting agendas, packs, and briefing materials
- Draft routine correspondence and internal communications for review
Meetings & Follow-Up
- Support COO-led meetings such as operations meetings, leadership forums, and project updates
- Attend meetings as required to capture notes, actions, and decisions
- Maintain action registers and follow up with teams to ensure progress
- Help maintain the COO’s weekly, monthly, and quarterly operational rhythm
Travel, Expenses & Logistics
- Assist with booking domestic travel and preparing itineraries
- Support expense claims and reconciliations
- Coordinate logistics for meetings, workshops, and internal events
Stakeholder Coordination
- Act as a professional first point of contact for the Office of the COO
- Liaise with internal teams including operations, academic, student services, finance, HR, and compliance
- Help coordinate inputs, chase updates, and ensure timely responses
- Escalate issues appropriately and seek guidance when priorities conflict
Governance & Confidentiality
- Handle sensitive and confidential information with discretion
- Support document control and version management
- Assist with governance documentation and ensure alignment with ECA policies and compliance requirements
About you
This role will suit someone who is organised, professional, and eager to learn, with the confidence to work closely with senior leaders.
You’ll bring:
- Experience in an administrative, coordinator, or office support role
- Strong organisational skills and attention to detail
- Clear written and verbal communication skills
- A professional, calm, and approachable manner
- High integrity and respect for confidentiality
It would be great if you also have:
- Exposure to supporting senior leaders or executives
- Experience preparing meeting materials, taking notes, or tracking actions
- An interest in developing a long-term career as an Executive Assistant
- Experience in education, training, or another regulated environment
