Due to exceptional growth and exciting future forecasts, GROUNDLINE are seeking to recruit a Part Time Administrator to support our busy Business Services Team. We’re flexible on hours and open to discussion with the right candidate, but ideally are looking at 10am – 2pm Mon-Fri. This position is based at our Annesley site, North Nottinghamshire.

What role will you fulfil?
You will be working within Shared Services and helping the Shared Service Manager with office administration and finance tasks. You will also occasionally support the HR Business Partner & the HR Compliance Partner with admin tasks.
What can you expect to be doing?
This is a varied role and you will have the opportunity to get involved in lots of areas, the list below gives you a flavour of the breadth of the role.
- Booking hotel accommodation and travel for colleagues and visitors
- Ensuring that smooth booking, control and reconciliation of expenses and travel, including vehicles.
- Booking training for employees and keeping records of courses attended
- Coordinating IT support, including IT implementation for onboarding and offboarding staff.
- Dealing with office repairs & maintenance by the timely instruction of subcontractors
- Supporting with the organisation of work events, social activities and charity fundraising
- Updating suppliers documentation.
- Storing documentation correctly in the online management system.
- Keeping good records to be able to report accurately as and when required.
- Helping with book keeping for the company through XERO.
- Supporting the Compliance Business Partner to ensure the business remains compliant with its ISO9001, 14001 and 45001 accreditations.
- Supporting Health & Safety by maintaining accurate office records and arranging relevant fire and safety tests
- Supporting the HR Business Partner to ensure relevant employee documentation is up to date
- Maintaining good levels of office supplies & equipment
- Continually improving the companies processes and procedures.
- Auditing data held to ensure it is relevant and in line with GDPR
- Communicating with overseas administration teams and the Support Services to ensure consistency.
What will you bring to the role?
We are looking for a highly organised, confident individual that is computer literate with advanced levels of Word and Excel. If you have used Teams and SharePoint would also be beneficial.
We’d expect you to be confident and ask if you need help, as well as being someone that will do a little research and give it a try.
