Outline of role
We are seeking a highly organised and proactive Project Coordinator. Reporting directly to the Project Manager, you will play a key role in supporting the successful delivery of client projects, ensuring exceptional customer service and maintaining high standards of communication throughout the project lifecycle. This is an exciting opportunity for an individual who thrives in a fast-paced environment, enjoys building strong working relationships, and can confidently manage multiple priorities simultaneously. The successful candidate will act as a central point of coordination between clients, suppliers, hauliers and internal teams, helping to ensure projects are delivered efficiently,
accurately and in line with client expectations.
Main responsibilities
• Support the day-to-day coordination and delivery of multiple client projects simultaneously.
• Ensure projects are delivered in line with client requirements, agreed timescales and service expectations.
• Generate accurate and timely quotations based on client requests and project specifications.
• Manage project-related administration using internal systems and databases.
• Liaise daily with clients, suppliers and hauliers, building and maintaining positive working relationships.
• Monitor project progress and provide regular updates to the Project Manager.
• Escalate issues, risks or potential delays promptly, ensuring proactive resolution wherever possible.
• Manage shared and personal inboxes, maintaining response times within 24–48 hours.
• Maintain accurate project records and documentation throughout the project lifecycle.
• Support project planning activities and ensure key milestones and deadlines are achieved.
• Investigate queries, identify solutions and take initiative to overcome challenges.
• Ensure all communications, both internal and external, are professional, accurate and customer-focused.
• Contribute to continuous improvement by identifying opportunities to enhance processes and efficiency.
Knowledge and experience required
• Previous experience in a project administration, project coordination, customer service or operational support role.
• Experience working in a fast-paced environment with multiple competing priorities.
• Strong working knowledge of Microsoft Office applications, particularly Excel.
• Experience managing customer, supplier or stakeholder communications.
• Proven ability to maintain accurate records and process information with a high level of attention to detail.
• Experience using internal systems, databases or project management tools would be advantageous.
• Understanding of logistics, supply chain or project delivery processes would be beneficial but is not essential.

• Ability to listen, follow direction and work collaboratively as part of a team.
• Strong reporting and administrative skills.
Qualifications
Essential
• GCSEs (or equivalent) including English and Mathematics.
• Competent user of Microsoft Office applications, particularly Excel, Outlook and Word.
Desirable
• Qualification in Business Administration, Project Management or a related discipline.
• Previous project coordination or administration training.
• Project management certification (such as PRINCE2 Foundation or equivalent) would be advantageous.
