This role combines administrative expertise, client care, and organisational skills to manage case files, prepare legal documentation, liaise with third parties, and maintain accurate records. You will often be the first point of contact for clients, providing professional, empathetic, and timely support during what can be a challenging time in their lives.
As part of a collaborative and supportive team, you will help drive the client journey, meet team targets, and uphold the firm’s mission to protect not only clients’ financial assets but also their emotional legacies.
Key Responsibilities
- Working with and providing administrative support for the legal advisors, including updating clients on key milestones and the preparation and sending of legal documents.
- Handling incoming calls from both existing and new clients, whilst delivering outstanding customer service.
- Daily file management, including file opening, closing, filing and the scanning of post.
- Liaising with various organisations and financial institutions as part of the probate process.
- Driving the client journey to ensure team targets are met.
- Working with the rest of the business to deliver its core purpose and cultural values.
- To utilise the probate case management system, ensuring all steps of the probate administration are accurately recorded and maintained.
- To ensure executors and/or beneficiaries (where appropriate) are regularly updated on the progress of the matter.
- To take part in business development where required.
- Contribute to the general day to day office operation.
- Driven and willing to develop a career within Probate or the legal area.
Leadership & Collaboration
- Work collaboratively with solicitors, paralegals, and administrative colleagues to ensure cases progress efficiently.
- Share knowledge and best practices with team members to improve processes and service delivery.
Legal & Compliance
- Ensure compliance with all relevant legislation, SRA rules, and internal policies.
- Maintain accurate, secure, and complete client records in line with GDPR.
- Adhere strictly to Solicitors Accounts Rules when handling client funds.
- Proactively identify and manage risks, escalating where appropriate.
- Ensure all casework, communications, and record-keeping comply with SRA standards, GDPR, and firm policies.
- Maintain accurate, complete, and secure client files and legal documentation.
- Monitor deadlines for legal and procedural requirements, ensuring no breaches occur.
- Flag potential compliance risks promptly to the Administration Manager or senior legal staff.
Client Experience
- Deliver empathetic, professional, and transparent communication to clients at all stages.
- Ensure communications are clear, accurate, and reflect the firm’s values.
- Actively manage expectations, timelines, and next steps to avoid misunderstandings.

Experience
- Previous experience in an administrative or legal role.
- Ability to build trust and rapport with clients, delivering a personalised and empathetic service.
- Understanding of Wills, Lasting Powers of Attorney, and related legal processes (or a willingness to develop in this area).
- Strong written and verbal communication skills with the ability to adapt tone and approach.
- Team-oriented mindset, working seamlessly with colleagues to support the business’s values and objectives.

- Exceptional accuracy in preparing documents and managing administrative tasks.
